Job Responsibilities
Prepare all third-party billings for student tuition, books, and other fees. Perform account analysis of student-sponsored accounts. Posts all revenue and maintains files and records of all receipts. Prepare semester payment plan files. Follow up on outstanding company balances monthly. Assists cashiers during registration and peak times.
High school diploma and experience in entry-level accounting or bookkeeping. A bachelor’s degree may be substituted for required work experience.
Preferred Qualifications
Associate’s or bachelor’s degree with accounting-related courses plus two years of accounting or bookkeeping experience.

Occasional evening/weekend hours may be required for special events.

- Prepares daily deposits and runs daily reports for all cashier sessions. Prepares deposits for all revenue postings and maintains files for each deposit to include company accounts, grant reimbursements, state and local allocations, and miscellaneous receipts. Provides assistance to cashiers for accurate posting. Performs reconciliation of cash receipts to the general ledger. Informs Director of Finance of any issues and resolves any discrepancies.
- Invoices all companies, Career Source, Adult Learning Center, and Tech Scholars for student tuition, books, and other fees. Maintains all alpha and numeric files on these invoices. Makes appropriate adjustments to accounts as students drop and add courses. Acts as collection agent for company billings and Workforce Development billings to ensure aging is current, credits are applied, and discrepancies are cleared. Follows up on outstanding company balances monthly. Works with the Student Account Coordinator to identify outstanding debts for further collection procedures. Keeps records of all Continuing Education invoices.
- Works with the Senior Accountant, Financial Aid, and Dual Enrollment to aid in the dual waiver process each semester, including invoicing of all school districts and career centers. Corrects errors in dual waiver recording and WD sponsorship adjustments. Works with Early College by entering all requisitions as requests are made for purchases and reimbursements for the Director.
- Works with the Financial Aid Office on student transmittal issues. Works with IT staff on computer or colleague issues. Works with multiple departments/staff on complex student account issues. Provides documentation for all charges, including Bookstore receipts.
- Assists in invoicing of special project reimbursements relating to students. Works with the grants department to provide information regarding students who receive grants through the college and the SCC Foundation. Performs account analysis of student accounts for grants, sponsorships, and dual enrollees as needed. Assists cashiers during registration and peak times.
- Enters all requisitions for purchase order processing for the Business Office. Maintains files in accordance with established retention regulations.
