Responsible for payroll functions for IT Services including, but not limited to, assisting employees with entering time and/or leave into the payroll system and checking time and leave for accuracy. Maintains reports for the Agency Chief Information Officer on time and salary data. Maintains database of all employees containing each promotion received, current salary, grade, slot, and other important information pertaining to each employee. Maintains a current organizational chart for IT Services.
Prepares forms for promotions, reclassifications, or any change in compensation for IT Services. Maintains up-to-date personnel files and handles paperwork for new employees, terminations, and resignations.
Assists with preparing goods receipts in SCEIS for goods and services received. Confirms that items ordered with purchase orders have been received before processing invoices for payment. Resolves discrepancies. Creates shopping carts and purchase orders for IT Services. Obtains IT goods and services purchased for other offices. Makes sure all P-card statements are delivered, returned in a timely manner, and purchases adheres to SCDOT procurement policies and procedures.
Coordinates general administrative support and personnel activities for IT Services. Serves as resource person on personnel policies and procedures. Provides consultation on administrative policies and procedures. When necessary, assists management with preparing disciplinary action paperwork required for violations of policies and procedures.
Performs activities related to personnel management, supply services, etc. Performs activities necessary for the requisition, storage, distribution, and inventory control of supplies in accordance with agency policies, procedures, and regulations. Prepares turn-in documents for equipment/furniture disposals. Prepares vehicle monthly use report from vehicle daily trip logs, and distributes new log sheets to IT employees.
Receives telephone calls and visitors, referring callers directly to manager or redirecting them to appropriate offices within IT Services or other divisions. Schedules interviews for managers and supervisors in IT Services. Prepares paperwork for out of state travel and reimbursements for IT employees. Coordinates all incoming mail to include independently reviewing, distributing, and sorting as necessary in order of urgency. Performs other related duties as assigned.
A high school diploma and one and one-half (1.5) years of relevant experience in business management, public administration, or administrative services; or an approved acceptable equivalence. A valid motor vehicle operator's license is required.The physical demands for the essential functions includes sitting or standing at a desk for an extended periods and working on a computer. May be required to lift up to 30 lbs.
