The South Carolina Arts Commission (SCAC) seeks a personable and organized Assistant Grants Coordinator with experience in customer service, data processing, and arts administration. Our ideal candidate will share our mission and values and have the ability to work closely with a broad cross-section of constituents to provide excellent customer service in support of SCAC programs and services statewide.Job Purpose: Serves as the primary customer service representative for all agency grant allocations. Ensures accurate and efficient processing of grants from application to final report in a cloud-based grants management system. Working under supervision of the Grants Manager, they serve as a member of the Arts Commission’s grants team and play a vital role in working with constituents, grantees, schools, organizations, and partner entities. Duties and Responsibilities: Grants Office Administration and Customer Service Serves as primary customer service representative to internal and external constituents as the initial point of contact for grants-related information and assistance. Manages department email communications and phone calls; responds to inquiries and/or refers them to appropriate staff member(s). Serves as a member of the grants team. Participates in team meetings and collaborates with other team members for planning, problem-solving, and sharing best practices. Manages electronic and physical files and records related to SCAC grantees and grants in accordance with the agency’s records management regulations.Assists with composition and distribution of grants information to internal and external constituents.Assists Grants Coordinator with preparation for and execution of grant review panels, both online and in person.Manages grants office’s Zoom account administration.Assists Grants Coordinator with constituent webinars.Grant Processing Performs accurate and efficient processing of grant materials in cloud-based grants management systems and in accordance with agency procedures.Monitors grants systems for submitted contracts, pay requests, final reports, and other requirements. Ensures completeness of each submission and compliance with program guidelines.Monitors, updates, and manages grant-related constituent information in online systems. Other Duties as AssignedParticipates in agency strategic planning.Collaborates closely with other agency programs and departments.Fulfills other duties consistent with supporting agency projects, programs, and events.Knowledge, Experience, Skills, and Abilities: Demonstrated commitment to providing exceptional customer service and fostering positive relationships with constituents. Knowledge reflecting a broad background in the arts with experience working in arts-related customer service. Experience working in grant allocation programs and explaining complex processes to various stakeholders.Experience in applying for grants (from SCAC or other sources). Excellent communication skills: ability to interpret and analyze narrative, budget, and statistical information and to convey such information effectively using written, graphic, and oral communication. Exemplary knowledge of technology, with a high level of computer literacy including Microsoft Office Suite, cloud-based database and project management technologies, grants management software (processing & data reporting) internet research, and video conferencing platforms.Ability to take initiative and consistently meet deadlines.Ability to exercise excellent judgment and discretion.Strong organizational skills and ability to work on multiple projects.Excellent self-management of time and work.Knowledge of recent research and policies related to public grant allocation programs. Experience working with people who represent a broad spectrum of socio-cultural and socio-economic backgrounds.Experience in facilitating group processes (i.e., panels, community meetings, learning experiences), both in person and virtual.Ability to establish and maintain positive relationships and communicate in a professional manner with agency executives, staff, board, funders, governmental officials, and the public.Ability to make data-driven decisions and use data to communicate programmatic success.Ability to navigate the complexities of a government entity.Ability to speak Spanish is a bonus.

A Bachelor's degree* and experience working in a systems-based or customer service-based department or area (ex: grants department, ticket office).Punctuality, regular attendance, and adherence to daily work schedule are essential.Statewide travel, evening, and weekend work is sometimes required, as well as light lifting and long periods of sitting.The employee may be required to operate a state vehicle; must possess and maintain a valid S.C. driver's license.Employment is contingent upon the results of a favorable reference check and a criminal background check, which includes information from the S.C. Law Enforcement Department (SLED).
