The South Carolina State Museum is the capitol city’s premier events venue, boasting over 200,000 square feet of exhibition and rental space. It is a unique venue in which to host an event, with the charm of a Historic Landmark mill building and the fun modern feel of the planetarium and state-of-the art meeting rooms. We are seeking a Special Events Operations Coordinator who is responsible for the planning, organizing, and executing of internal and rental events at the Museum. The Special Events Operations Coordinator will oversee the day-to-day operations of the Special Events department, ensuring efficiency, productivity, and a smooth functioning department.The perfect candidate will have a problem solving, can-do attitude and work to streamline setup and tear down processes for a wide range scale of events, from corporate lunch meetings to weddings and public programs. They will develop event plans, timelines, and schedules for all internal and rental events, and ensure that plans are executed to the highest standard. Exceptional communication with clients, vendors, and Museum staff is essential.Essential Duties and ResponsibilitiesSupport the Manager of Rentals and Special Events, which includes but is not limited to communicating on behalf of the rentals department, providing tours of rental spaces to potential clients, providing quotes, and compiling rental informationProfessional appearance and attitudeCoordinate the rental and internal event setup and tear down processes from start to finishCoordinate event logistics with special events technicians, event vendors and museum staffCreate streamlined event plans and layouts for all internal and rental events, and distribute to appropriate staff and vendorsOn-site Person-In-Charge (PIC) for rental clients and support for non-rental roles (ex. Museum and Foundation programs and events)Conduct weekly and monthly supply inventory and order supplies for rentals as neededProcess client paymentsRepresent the museum at offsite shows to promote museum rentals as neededAdditional DutiesOversee and train part-time staffMaintain database of rental clients and vendorsCompile event-related researchCollaborates with other departments for the success of the Special Events DepartmentAssist in other operational areas as needed
