We are currently accepting applications for a temporary Human Resource Consultant Assistant 1. This position is anticipated to run through June 30, 2025.
This position resides in Olympia, Washington.
As a team, HR values goal driven employees who are detail and team-orientated, organized, and have the ability to manage multiple competing tasks. This position will spend most of their temporary assignment completing physical and digital file review, including reviewing and organizing existing and new files from a physical environment to an online one. Additionally, the employee may assist in organizing information, tools, and resources to support future project needs.
Duties
- Digital File Review: Review hard copy documents to ensure all copies were accurately and completely digitized into appropriate online storage
- Organization of Electronic File Structure: Organization of electronic records to ensure accurate and appropriate storage of all documents/records.
- Gather and organize information, tools, and resources to support future project needs: Work closely with assigned team members to assess future needs and provide clear documentation of resources, goals and objectives.
- Other duties as assigned: Complete additional standard operating procedures and projects as assigned.
Qualifications
Required Qualifications
- High school diploma or equivalent
- One (1) year of experience in administrative or records management roles, ideally within HR or equivalent experience.
- Demonstrated ability to effectively manage multiple tasks and priorities with strong organizational skills, and keen attention to detail.
- Strict confidentiality understanding of privacy and confidentiality laws related to employee records and sensitive information.
- Intermediate skill set in SharePoint online or comparable system.
- Intermediate skill set in Microsoft Suite products.
Preferred:
- Familiarity with record keeping systems, data entry, and document management practices, including electronic file management.
- Proficiency in HR software systems.
- Strong communication skills (verbal and written) to interact with team members and other departments as needed.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Ability to identify and resolve issues related to record organization and retention.
- High level of accuracy and attention to detail maintaining and updating records.

Proficient in relevant Microsoft Office Suite (Word, Excel), SharePoint and Adobe Pro to input, analyze, and manage data accurately. Quickly adapts to new technologies, learns new software as needed, and applies digital tools to improve productivity and workflow.
- Electronic file organization – Demonstrates the ability to systematically create, manage, and maintain electronic files and digital records in an organized and efficient manner. Ensures documents are accurately labeled, stored, and easily retrievable using logical folder structure, naming conventions, and version control. Applies agency guidelines for file management, data security, and record retention.
- Effective communication – clearly and concisely conveys information, both verbally and in writing, to diverse audiences. Actively listens to understand others’ perspectives and responds appropriately. Tailors' communication style to the audience. Demonstrates professionalism, diplomacy, and respect in all interactions while fostering open and honest communication,
- Self-management – Manages own time, priorities, and resources to achieve goals and meet deadlines. Prioritize tasks by importance and deadline. Discerns what is crucial from what is just urgent. Adjust priorities as situations change. Focuses time and effort on key tasks. Groups related tasks to be more efficient. Easily transitions between tasks and picks up where left off when interrupted. Makes reasonable estimates of resource needs to achieve goals or complete projects. Use sound methods to plan and track work, appointments, and commitments.
