Location: Chehalis, WA - Fulltime position
Closes: Monday, March 10. 2025
Salary: $3,477.00 - $4,632.00 Monthly. The salary does not include an additional on-site 24/7 facility 5% premium.
The Department of Children, Youth and Families (DCYF) is looking for an Administrative Assistant 3 (AA3) to provide direct administrative support to the Registered Nurse 3 and Health Center Staff in support of the mission and the goals of Green Hill School (GHS). Effective communication skills and pro-social skills are essential to gather task requirements and provide excellent customer service.

The Opportunity:
Are you an organized individual who can prioritize and meet deadlines? We need your administrative experience at Green Hill School to perform duties related to expenditure control, public relations, records management and provide interpretation or explanation of supervisor's policies. Tasks performed by this position require the ability to prioritize, self-manage, organize, pay attention to detail, and work independently in a diverse and fast paced environment. Effective communication skills and pro-social skills are essential to gather task requirements and provide excellent customer service.
Some of what you will do:
- Develop and maintain confidential administrative, Personnel and Resident files.
- Maintain records of incoming correspondence and ensure timely and accurate responses, draft memos, letters.
- Schedule on and off campus medical appointments, communicating, and documenting specialty appointments/surgeries for residents and provide email notification to Living Unit and security staff,
- Generate and maintain medical files including appointment data, medical chart progress notes and calendars.
- Assist with pre-placement and transition activities.
- Confirm medical billing with resident appointments.
- Respond to and fulfill records requests.
- Ensure Daily Medical Movement sheet is updated.
- Maintaining equipment/ordering of supplies and coordinate services with various vendors.
Required qualifications:
Three years of experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
OR
One year of experience as an Administrative Assistant 2, OR two years of experience as an Administrative Assistant 1.
In addition to those required qualifications, our ideal applicant will also have some or all of the following:
- Knowledge of office procedures and practices; business management practices, research methods and data collections; communication and correspondence practices; principles and practices of supervision.
- Ability to work independently; read, understand, and interpret policies and procedures; develop written reports; work effectively with others; communicate effectively, both in writing and speech.
- Ability to key and/or type accurately at a net speed of 50 words per minute or faster.
