Salary Range: $4,293 - $5,776 Monthly

The Washington State Department of Corrections is seeking an innovative, enthusiastic and organized individual to join the West 2 Tacoma Records team as the Corrections Records Technician Lead! The goal of this position is to assist in leading a correctional records office to ensure compliance with appropriate laws and agency policy.
As a custodian of incarcerated and supervised individual’s records, the Correctional Records Technician Lead contributes to the agency’s mission to improve public safety by entering, auditing, and interpreting the legal documents that hold individuals within the agency’s facilities and/or under the jurisdiction of the DOC for appropriate supervision within the community. You will assist the Correctional Records Supervisor (CRS) in on-board training Correctional Records Technicians (CRTs) and mentoring the CRT’s while also assisting in their continued on-the-job training.
When needed, you will provide back-up to the CRS in their absence and oversee office and workload management. The incumbent will use independent judgment to accomplish assignments and resolve problems. You will also ensure the contents of incarcerated individuals legal records are maintained in a secure setting, review and verify accuracy of legal documents and establish and validate agency jurisdiction of incarcerated and supervised individuals.

As a Correctional Records Technician Lead, some of your duties will include:

Mentoring and providing leadership to correctional records technicians in a correctional records office which could look like:
- Leading CRTs in the absence of the CRS in running office and processing workload
- Utilizing Microsoft Teams to meet and train virtually in the absence of in-person availability.
- Planning, assigning, training and reviewing the work of the CRT records staff
- Assessing training needs of staff and work with CRS to arrange for or provide instruction
- Providing feedback to CRS in evaluating employee performance and training needs
- Assisting CRS in recognizing staffing coverage issues and help problem solve solutions and recognition for employees in a job well done

Reviewing and verifying incarcerated and supervised individuals sentence structure, confinement credits and criminal history information including:
- Completing initial, second or release audits as necessary for sentence structure and release from partial confinement
- Resolving any problems related to sentence structure and time accounting
- Applying Supreme, Appellate, and Superior court decisions, RCWs, and Indeterminate Sentence Review Board redeterminations
- Maintaining electronic and physical files
- Providing effective communication and thorough and timely processing of requests
- Other duties as required
Qualifications
What we need (required qualifications):
- High School diploma or equivalent
- Three (3) years of experience entering and auditing offenders sentence structure and jail credits
- Three (3) years maintaining and processing offender records in an adult correctional agency
College-level course work in criminal justice, business administration, accounting, social science, or a related field will substitute, year for year, for up to two (2) years of experience and maintaining offender records.

- Demonstrated ability to effectively communicate with co-workers, the public, and criminal justice agencies
- Demonstrated ability to analyze and solve problems under highly stressful or adverse situations
- Experience with quality assurance and the training of staff. Must respect and maintain confidentiality
- Observation - Observes and strategizes personal action based on environmental conditions and human behavior
- Technology - Learns and utilizes computer-based applications in the performance of job duties
- Stress Tolerance - Remains calm and rational while handling difficult situations including, but not limited to, volatile, threatening, or other crisis/emergency situations
- Professional Standards - Knows and applies relevant law, policy, procedure, and practice
- Adheres to productivity standards and timelines established by law and policy
- Identifies own training needs and proactively seeks training opportunities
- Adaptability - Incorporates new information into an existing framework of understanding

What will make your application stand out (preferred qualifications):
- Four years of record maintenance and sentence structure entering/auditing in a correctional setting along with all the above required qualifications
- One or more years of leadership experience
- Two or more years of clerical experience
- Intermediate Skill Level in Microsoft programs
- Ability to use independent judgment to accomplish tasks and solve problems
- Ability to work well under pressure to meet deadlines. Oral and written communications skills
- Actively listen to others and demonstrate the ability to paraphrase and ask clarifying questions
- Ability to clearly and concisely emphasize key messages
- Ability to take direction and communicate objectives and processes

Telework Details
This position may be allocated for telework. Work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hotspot service at that time. Employees are expected to perform assigned duties in a safe manner, to take proper care all state-issued equipment, and maintain confidentiality of all information in possession while working offsite. Employees will be required to commute to a Department of Corrections facility or field office as business requires, to potentially include components of the onboarding process. Some offices will have a “drop in” area available, however, a dedicated workspace within a DOC facility will not be provided.
