Administrative Assistant 3 – Office of Native Education

The Washington State Office of Superintendent of Public Instruction (OSPI) seeks to fill Administrative Assistant 3 – Office of Native Education. This full-time position is based in Olympia, Washington. This position may be eligible for partial telework up to two (2) days per week after the initial onboarding period which is dependent on the successful candidate. Position Overview
This position will provide essential administrative support to the Office of Native Education (ONE). Administrative duties may include providing support for specific teams or agencywide as needed.
The objective of this position is to provide essential administrative support to ensure smooth and efficient operations. This role involves independently performing comprehensive and complex administrative duties, such as planning, organizing, and prioritizing work to meet internal and external deadlines. Responsibilities typically include, but are not limited to, calendar management, editing and formatting complex word documents, coordinating meeting logistics, travel arrangements and support, purchasing, compiling reports and data, coordinating office operations, and providing additional support as needed for budget, contracts, website updates, and ADA compliance.
This position requires in-state travel - some overnight - for trainings and work group meetings.
Key Responsibilities
Provide administrative support to the ONE Assistant Director, Tribal Consultation Program, and Native Literacy Program, with some support to other ONE division programs.
Duties include: Meeting and event coordination, including facility rental and catering agreements, virtual and onsite technical support, participant registration and travel accommodations; committee and staff travel management and reimbursement processing; word processing and spreadsheet creation; calendar maintenance and scheduling; recording and transcription of meeting minutes; survey creation, data collection, and maintenance; clock hour registration and maintenance; correspondence and customer support to internal and external partners; creation of bulletins, newsletters, and other communications; certification and renewal process monitoring; ADA compliance and remediation; file maintenance and records retention; purchase and invoice payment processing; contracts and grants support; monitoring and tracking of program budgets and spending plans; division recruitment support; support of program/division/agency projects as needed; provide front desk coverage as needed.
Required Qualifications:
Associates degree AND two (2) years of progressively responsible experience in in utilizing organizational skills in office/clerical, secretarial, bookkeeping, accounting, or general administrative skills or work experience OR
Bachelor’s degree AND one (1) year of experience in utilizing organizational skills in office/clerical, secretarial, bookkeeping, accounting, or general administrative skills or work experience.
This position may be eligible for partial telework up to two (2) days per week after the initial onboarding period which is dependent on the successful candidate.

- Knowledge of basic administrative procedures, office practices, and correspondence preparation.
- Ability to work independently; read, understand, and interpret general office policies and procedures; work effectively with others; communicate effectively, both in writing and verbally.
- Demonstrated organization skills and attention to detail; ability to maintain accurate files, logs, and reports; experience with state records retention.
- Excellent time management skills and ability to organize and prioritize tasks to meet internal and external deadlines.
- Provide high standard of professionalism and customer service to internal and external clients.
- Ability to create, draft, proofread, and edit documents accurately and under time constraints while meeting deadlines.
- Highly proficient in MS Office suite (Excel, Word, PowerPoint, Outlook).
- Knowledge of and commitment to antiracist and trauma-informed practices.
- Knowledge of agency (OSPI) contracts process.
- Familiarity with the Washington State Local Education Agencies (LEAs).
- Familiarity with the Washington ELA Standards, Benchmarks, & Indicators.
- Familiarity with online collaboration tools such as SharePoint, Zoom, Microsoft Teams, etc.
- Experience with or ability to learn new programs/software (e.g., GovDelivery, PdEnroller, Alchemer, EGMS)
- Understanding of state compliance regulations as related to purchasing, travel, contracts, and records retention.
- Experience coordinating trainings both in-person and virtual.
Compensation
The annual compensation for the position is $41,724 - $55,584 per year and depends upon experience, educational background and qualifications. Geographic differentials may be applied based on work location of successful candidate.
