The Administrative Secretary with WV DoHS BFA Division of Early Care and Education performs highly responsible, advanced level administrative support to the Division. Responsibilities include making limited policy interpretations in the absence of management staff, handling and managing incoming and outcoming correspondence, including emails, letters and phone calls including staff, general public, legislators, federal officials and the Governor's office. Maintaining and updating the filing system, ensuring all documents are properly organized and easily accessible. Scheduling and coordinating meetings, conference, travel arrangements for the management team. Preparing and distributing meeting agendas, minutes and other necessary documents. Assisting in the preparation of reports, presentations and other business documents. Manage office supplies inventory, ordering new supplies when needed, and ensuring proper maintenance of office equipment. Greeting and assisting visitors, directing them to the appropriate person or department. Managing and maintaining office calendars, scheduling appointments and reminding managers of upcoming events or deadlines. Coordination of internal and external communications, including routing calls, taking messages and responding to inquiries, assisting in the planning and execution of Bureau and Division events and employee engagement, and collaboration with other administrative staff to ensure efficient office operations. Must be able to function well independently and as a member of a coordinated team.

Minimum Qualifications
TRAINING: Graduation from a standard four-year high school or the equivalent.
EXPERIENCE: Six years of full-time or equivalent part-time paid experience in secretarial work, two years must have included administrative support or complex clerical duties.
SUBSTITUTION: Successful full-time study in an accredited college or university, or resident business or vocational school training may be substituted through an established formula for the required experience.
