Job Description:
SWIB is seeking an experienced administrative professional to join our high-performing HR Division. Reporting to the Talent Acquisition Manager, the HR Coordinator will provide administrative support and be a key individual contributor, owning aspects of the candidate experience. The HR Coordinator will spend more than half of their time working with the Talent Acquisition Team, but they will also be a utility player providing administrative support to others in the HR Division. The HR Coordinator will need to balance competing priorities and oversee multiple ongoing projects while successfully managing ongoing data needs and HR processes. They will need to be flexible in their mindset, adaptable in their priorities, approachable in their interactions with others, and proactive in their approach. They need keen attention-to-detail to meet deadlines and solve complex problems while working collaboratively to ensure strong communication with key stakeholders. Discretion will be critical in working with sensitive and confidential matters.
Essential Activities:
- RECRUITING COORDINATION
- Coordinate and manage the candidate interview experience
- Work with hiring managers to understand their interview needs
- Schedule interviews for candidates in a timely manner and prepare agendas
- Provide continuous support for candidate inquiries throughout the interview process and quickly resolve schedule changes
- Provide follow-up correspondence to candidates on process/status
- Assist the travel coordinator for any candidate travel and assist with expense reimbursement
- Prepare new hire paperwork, schedule and conduct onboarding sessions
HR SYSTEMS
- Assist maintaining candidate information within the Workday system.
- Facilitate and manage candidates through our background check system
PROGRAM SUPPORT
- Supports the scheduling, enrollment, and coordination of employee training and leadership development programs
- Administer HR programs including, but not limited to, education reimbursement and relocation reimbursement
- Schedule new hire orientations
DATA & DOCUMENTATION
- Diligent documentation and recordkeeping; assist with updates to policies and procedures; maintain personnel files
- Prepare and distribute employee communications/correspondence, presentation materials, data and reporting as required.
ADMINISTRATIVE SUPPORT
- Provide general administrative support to the Head of HR
- Support the credibility and effectiveness of the HR Division by establishing and maintaining positive working relationships with employees and leaders across the organization
Ideal Candidate:
- 3 years of administrative experience required. Previous human resources experience a plus
- Proficiency in administrative duties such as communications, data entry and record keeping
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat
- Familiarity with Workday or other HR software preferred
- Excellent organizational, communication, and interpersonal skills
- Strong attention to detail and accuracy
- Strong written and communication skills
- Demonstrated proactive approaches to problem-solving, but knows when to consult and collaborate to achieve desired outcomes
- Ability to maintain confidentiality and demonstrate the highest level of confidentiality and integrity, building trust with the business and employees
