Introduction


The State of Wisconsin Department of Administration, Division of Personnel Management (DPM) is seeking an administrative professional to join its statewide human resources team as an Office Manager!

This position is headquartered at the Department of Administration State Office Building, 101 East Wilson Street, Madison, WI. This position may have opportunities for hybrid/remote work for a portion of the work schedule. Additional time in the office may be required depending on training and operational needs. Position Summary


This position is responsible for providing a wide range of professional program support services for the Division of Personnel Management (DPM). These services include fiscal, administrative, office and records management, and IT/telecommunications responsibilities.

This position also serves as the information technology coordinator for DPM and provides information technology support to all bureaus in DPM. This position serves as a liaison to DOA's Division of Enterprise Technology (DET), and as DPM's DISC (division information systems coordinator) and security officer. The position is responsible for understanding the impacts of IT policy on programs and for assisting in the development or acquisition of new applications and IT services in accordance with DPM's program needs. The position takes a lead role in explaining IT policies, applications, and systems and their impact on programs to DPM staff. This position participates in the development of plans related to equipment acquisition, software installation, and desktop hardware/software usage and needs, and coordinates the implementation of these plans. This position serves as a business area expert for DPM and communicates DPM's business processes to IT project teams and DET staff. The position assists with coordination of desktop support for DPM staff and provides front-line IT support.

This position works with Division leadership concerning budget/fiscal matters and provides guidance/recommendations to the Administrator/Deputy Administrators in the administration of a current budget. The position troubleshoots and solves internal issues relating to budget, finance and procurement. The position investigates, reports and recommends alternative services, equipment, and methods to improve operating effectiveness and increase staff productivity and efficiency.

The position also performs special assignments/projects and provides technical support for the Deputy Administrators, Division Administrator, Bureau Directors, and other managers.

Salary Information


Starting hourly rate for the Office Management Specialist position (schedule/range 81-04) will be $28.00 per hour - $31.50 per hour depending on qualifications and experience. Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan. A 12-month probationary period is required.

Qualifications


Minimally qualified applicants will have experience with each of the following:

  • Providing and coordinating information technology (IT) support to customers.
  • Maintaining computer hardware and software inventories (i.e., procurement, upgrades, enhancements, and replacements, etc).
  • Providing administrative support (i.e., records management, handling mail, maintaining office supply inventories, ordering supplies, processing invoices, etc.).

In addition, well-qualified applicants will have experience with one or more of the following:

  • Maintaining websites and/or SharePoint sites (i.e., providing design and technical guidance, including review and auditing of content, etc.).
  • Serving as a liaison to internal and external partners such as vendors, other employing units and teams, etc.
  • Performing fiscal duties (i.e., purchasing, auditing expenses, managing invoices, etc.).
