The Logistics Bookkeeper is responsible for maintaining accurate financial records and transactions related to logistics operations within the company. This role plays a crucial part in ensuring the smooth financial functioning of the logistics department, tracking expenses, managing invoices, and reconciling accounts. The Bookkeeper will work closely with logistics managers and the finance team to ensure compliance with financial regulations and contribute to the overall success of the logistics operations.
Responsibilities:
Financial Records Management: Maintain and update financial records for logistics-related transactions, including purchases, sales, shipments, and expenses. Utilize accounting software and systems to record data accurately.
Accounts Payable and Receivable: Process and reconcile invoices, bills, and payments related to logistics operations. Ensure timely payment to suppliers and vendors while managing receivables effectively.
Expense Tracking: Monitor and track logistics-related expenses, including transportation costs, warehousing expenses, customs duties, and other relevant expenditures. Provide regular reports on expense trends to logistics managers.
Axon Software: Must know and utilize Axon Trucking Software. Will be the steward for this.
Bank Reconciliation: Conduct periodic bank reconciliations to ensure all transactions are accurately recorded, and discrepancies are promptly addressed.
Financial Reporting: Prepare financial reports for the logistics department, including monthly, quarterly, and annual statements. Provide insights into financial performance and trends.
Budget Monitoring: Collaborate with logistics managers to monitor and control budgets for logistics projects and operations. Alert management about potential budget overruns or deviations.
Payroll Processing: Assist in processing and verifying payroll for logistics personnel, ensuring accuracy and compliance with labor laws.
Contractor Settlements: Must have all contractor settlements prepared and sent on time weekly. Will be the point person dealing with any questions or complaints from contractors. This is not an easy task so person must have strong personality and ability to deal with extremely frustrating people.
Communication and Coordination: Maintain effective communication with logistics managers, finance department, and other stakeholders to exchange information, resolve issues, and streamline financial processes.
Qualifications:
- A bachelor's degree in Accounting, Finance, or a related field is preferred, though relevant work experience may be considered.
- Proven experience as a bookkeeper, preferably in a logistics or transportation setting.
- Proficiency in Quickbooks and MS Excel for data entry, analysis, and reporting is REQUIRED.
- Knowledge of accounting principles and practices, including GAAP (Generally Accepted Accounting Principles).
- Strong attention to detail and accuracy in data entry and financial record-keeping.
- Excellent organizational skills and the ability to multitask and prioritize work effectively.
- Familiarity with logistics and supply chain operations is a plus.
- Good communication skills and the ability to work collaboratively in a team-oriented environment.
- Understanding of relevant financial regulations and compliance requirements.
