Steel City Spine and Orthopedic Center is seeking a Medical Office Call Center Coordinator to serve as the central point of contact for our busy, multi-location orthopedic and spine practice. This role is essential in ensuring efficient patient communication and office coordination.

As the first point of contact for many of our patients, you will handle high-volume inbound calls, schedule new patient appointments, direct calls to the appropriate office or team member, and manage fax communications to ensure smooth and efficient operations.

What You’ll Do:

Handle high-volume inbound calls – answer patient inquiries, schedule new patient appointments, and direct calls to the appropriate department or staff member.

Serve as the call center hub – efficiently triage calls and relay messages across multiple office locations.

Send, receive, and distribute faxes – ensure all documents reach the correct provider or office in a timely manner, with proper follow-ups.

Verify and update patient information while scheduling appointments to ensure accuracy in medical records.

Provide excellent customer service – remain calm and professional in handling patient concerns, appointment requests, and office inquiries.

Assist with administrative tasks – data entry, scanning, message tracking, and maintaining electronic records.

Coordinate communication between patients, providers, and office staff to ensure timely and effective patient care.

What You Bring to the Team:

Experience & Skills:

  • preferred.
  • Strong organizational and multitasking skills to handle multiple responsibilities efficiently.
  • Excellent verbal and written communication skills.
  • Ability to remain professional and composed under pressure, especially during peak call times.
  • Experience with medical terminology, patient scheduling, insurance verification, and electronic medical records (EMR) (preferred but not required).
  • Exceptional customer service skills and a patient-first attitude to provide a welcoming and helpful experience for callers.
  • Problem-solving mindset – able to anticipate patient needs and direct them to the right resource quickly.

Education & Certification:

  • High school diploma or equivalent required.
  • Medical office training, coursework, or relevant certifications preferred.

Physical Requirements & Work Environment:

Ability to sit for extended periods while handling calls.

Frequent use of computers, multi-line phone systems, and office equipment.

Work in a fast-paced medical office setting with multiple priorities.

Strong attention to detail required to ensure accuracy in scheduling and documentation.
