Job Summary
The Commercial Bid Project Administrator is responsible for managing the bid submission process for commercial, state and federal solar projects. This role requires expertise in navigating bid portals, preparing accurate and competitive bids, and coordinating with internal teams to ensure successful project execution.
Key Responsibilities
1. Bid Preparation and Submission
- Navigate Bid Portals: Use platforms like HigherGov, and BidNet, to identify and respond to commercial solar project opportunities.
- Prepare Bid Documents: Gather and organize all necessary documentation, including technical specifications, financial details, and company credentials.
- Ensure Compliance: Verify that all bids meet the requirements and deadlines set by the bidding entity.
- Submit Bids: Accurately and timely submit bids through the appropriate portals.
2. Project Coordination
- Collaborate with Sales and Operations: Work closely with the Business Development Manager and General Manager to gather project details and ensure alignment.
- Create Project Plans: Develop detailed project plans, including timelines, budgets, and resource allocation.
- Track Progress: Monitor the status of submitted bids and follow up as needed.
3. Documentation and Reporting
- Maintain Records: Keep accurate records of all bid submissions, including outcomes and feedback.
- Generate Reports: Prepare regular reports on bid activity, success rates, and areas for improvement.
- Update CRM: Enter bid and project details into the CRM system (e.g., HubSpot) for tracking and analysis.
4. Customer and Stakeholder Communication
- Liaise with Clients: Communicate with potential clients to clarify bid requirements and address questions.
- Coordinate with Vendors: Work with vendor to gather necessary information for bids.
- Provide Updates: Keep internal teams informed about bid status and any changes in project scope or requirements.
QualificationsEducation and Experience
- Bachelor’s degree in Business Administration, Project Management, or a related field (preferred).
- 2 years of experience in bid preparation and project administration, preferably in the renewable energy or construction industry.
- Familiarity with bid portals such as HigherGov, BidNet, and Ironclad.
Skills and Abilities
