What are the responsibilities and job description for the Agency Project Manager position at Stellaractive?
We’re looking for a highly organized, proactive, and detail-oriented Project Manager to join our team. This person will play a critical role in helping our agency run smoothly — making sure both marketing and website development projects are set up properly, tracked, and delivered on time.
You don’t need to be a web developer or marketing strategist. What we’re looking for is someone who’s a natural at keeping projects moving, following up with the team, and making sure deadlines don’t get missed. If you’re someone who thrives on clarity, structure, and helping creative teams stay on task — you’ll love this job.
This is a full-time position of at least 40 hours a week, with a mix of remote and in-office attendance. Evening and/or weekend work is occasionally required. Candidates must currently live in the Portland, Oregon area. Benefits include paid holidays, PTO, retirement contributions, and the option to enroll in medical, vision, and dental coverage (for which the company pays the majority share).
***** As part of your application, please include a cover letter describing why you are a good fit for this role and include salary requirements. No calls or stop-ins, please.*****
Job Responsibilities
- Own the project intake process — gathering the right information and setting up new projects in our project management platform (Accelo).
- Break down projects into clear, actionable tasks with owners and deadlines.
- Keep a close eye on project timelines, task assignments, and progress.
- Run point on project organization, making sure the team knows what’s next and when it’s due.
- Attend team check-ins and client status meetings to capture action items.
- Send out clear, regular project updates and status reports.
- Work closely with our team leads in both the marketing and web departments to keep things on track.
- Identify workflow hiccups and help us improve how we work.
- Over time, you may also handle light client communication related to project status and timelines (but no sales or strategy).
Qualifications/Skills
The right person for this role will be someone interested in joining a creative, collaborative, and fast-moving team — and playing a key role in helping the company (and our clients) succeed. We’re looking for someone who is:
- Experienced: 3 years in a project management role, ideally in a digital agency or creative environment.
- Organized & Detail-Oriented: You love a good checklist, and you’re not afraid to follow up.
- Process-Savvy: You’ve used project management tools before and know how to keep tasks, deadlines, and details in order (Accelo experience is a plus, but not required).
- A Clear Communicator: You’re comfortable communicating with creatives, developers, and marketers — and you know how to translate big ideas into actionable next steps.
- Marketing & Web Aware: You understand the basic flow of website projects and marketing campaigns, even if you’re not doing the creative work yourself.
- A Problem Solver: You don’t wait around for someone else to fix things — you jump in, ask questions, and help keep things moving.
- Team-Oriented: You want to help the team succeed, and you’re excited to take operational headaches off leadership’s plate.
