Assistant Director of Operations
Position Overview
The Assistant Director of Operations serves as a key role within our property management organization, providing comprehensive oversight of facility operations across our commercial real estate portfolio. This position supports the Director of Operations in ensuring optimal building performance, maintenance program effectiveness, and service delivery excellence while managing vendor relationships and property budgets.
Key Responsibilities
Operational Management
- Assist in directing the day-to-day operations of facility maintenance and building services across multiple commercial properties
- Assist in overseeing preventative maintenance programs and capital improvement projects
- Develop and implement standard operating procedures for facility operations
- Ensure compliance with all building codes, regulations, and safety requirements
Team Leadership
- Assist in coordinating staffing schedules to ensure appropriate coverage for all properties
- Conduct performance evaluations and facilitate professional development opportunities
- Lead safety training initiatives and enforce safety protocols
Vendor Management
- Evaluate, select, and manage service providers and contractors in partnership with Property Mangers
- Negotiate service agreements and monitor contract compliance
- Assist in reviewing reviewing and approve vendor invoices and manage service quality
- Maintain relationships with key service partners
- Analyze utility consumption and implement energy conservation measures
Tenant Relations
- Respond to tenant service requests and facility-related concerns
- Collaborate with property management on tenant improvement projects
- Conduct regular property inspections and work with technicians to address maintenance issues promptly
- Support tenant retention initiatives through excellent service delivery
Qualifications
Education & Experience
- Associate’s degree in Facility Management, Construction Management, Business Administration, related field or work experience equivalent
- 2 years of supervisory experience leading teams
- Experience with commercial real estate portfolios of 500,000 square feet preferred
Technical Knowledge
- Understanding of building systems including HVAC, electrical, plumbing, fire/life safety
- Proficiency with building automation systems and energy management tools
- Working knowledge of building codes and regulatory requirements
Skills & Abilities
- Exceptional problem-solving and decision-making capabilities
- Strong project management skills with ability to prioritize multiple tasks
- Excellent communication and interpersonal skills
- Proficiency with Microsoft Office suite and facility management software
- Financial acumen and budget management experience

Working Conditions
- Regular business hours with occasional evening and weekend availability for emergency response
- Ability to walk properties and access all areas including mechanical rooms, rooftops, etc.
- May require travel between multiple properties in Indianapolis area portfolio
