The Administrative Assistant in Service helps the Service Manager in the administration of the service department. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Duties/Responsibilities
- Assists in developing and/or implementing the budget and minimizing expenses.
- Assists in the development of improvement programs for service people who are having difficulty reaching their objectives.
- Ensures that dealership policies and procedures are understood and followed by service personnel.
- Strives for harmony and teamwork with all other departments.
- Maintains professional appearance.
- Attends managers' meetings as requested.
- Other tasks as assigned.
Additional, Dealer-Specific Duties May included
- Assisting in the daily workings and management of the Express Department
- Assisting in the management of Shop Technician training, including online and in-person classes
- Providing front desk training
- Assisting in front desk overflow
- Assisting in filing and submitting warranty paperwork
- Responsible for scanning and digitally filing and/or submitting documents.
- Assists with scheduling VIP, fleet, and loaner vehicle pickup and delivery.
- Handles rental contracts and bills customers.
- Assists with overflow calls from the BDC and the drive.
- Assists with mobile repair units.
Required Skills/Abilities

- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
- Ability to prioritize tasks and to delegate them when appropriate.

- Ability to define problems, collect data, establish facts, and draw valid conclusions to present to management.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
- Proficient with Microsoft Office Suite or related software.
- Strong computer & phone skills (Internet, MS Outlook)
- Self-motivated, goal-oriented, and ability to work within a fast-paced environment
- Must have the ability to sit for long hours while working from a desktop computer, phone system, and various dealership specific software
- Must have ample dexterity to bend, reach, stretch, sit, stand, type, and lift up to 10 pounds.
Education and Experience
- Current or recent administrative or customer service experience preferred. (Dealership, independent shop, or retail environment is a plus, but not required.)
- Must be able to pass a background check, drug screening, and Motor Vehicle Report.
