Description
The Project and Administrative Coordinator in the Division of Enrollment Management will be responsible for working closely with the Vice President for Enrollment Management (VPEM) and the Enrollment Management Leadership team on key initiatives and day-to-day support. While reporting to the VPEM, this position will need to work closely with other colleagues within the division as well as teams across the university. This position will have an opportunity to learn about the operational responsibilities of each area within Enrollment Management (undergraduate admissions; pre-college programs; financial aid; events, communications, and administration; and systems, data and reporting) and will have an opportunity to take part in responsibilities supporting each of these areas. A successful candidate in this position can work independently, while on a larger team, and is proactive and eager to contribute and make an impact in their approach to the work.

Project Tasks
Collaborate with Enrollment Management (EM) leads on strategic initiatives, assisting with testing, review, and implementation. Projects range from university-wide initiatives to EM-specific efforts.
Provide project management and support for special projects and ad-hoc requests across the division.
Conduct market research and benchmarking to provide insights for division matters, including program development and renaming efforts.
Administrative and Office S upport
Manage scheduling and calendars for the VPEM and the EM leadership team.
Ensure professional communication by providing phone coverage for the VPEM and addressing urgent or high-priority matters.
Offer administrative support including travel arrangements, expense reporting, package pick-ups, supply orders, and interview coordination.
Proactively prepare the VP for meetings by managing RSVPs and performing necessary follow-ups.
Finance Suppor t
Review VPEM expense reports for compliance with university policies.
Provide backup support to the Business Operations Manager, assisting with purchase orders, divisional expense tracking, and HR requisitions in Workday.
Collaborate with Finance to ensure agreements are accurate and processed in a timely manner.
Communications Assistance
Review and provide feedback on division communications, presentations, websites, and other materials.
Assist with drafting responses to student and parent emails and help manage the VPEM’s inbox.
Internal Events Support
Lead the planning of internal events, such as holiday gatherings, retreats, and social events, in collaboration with the VP and EM leadership team.
Additional Enrollment Management Responsibilities
Support divisional and university events, including Admitted Student Weekend, visit days, and other key initiatives, which may occasionally require weekend and evening work.
Participate in interviewing and screening applicants for divisional positions.
Provide backup support for team members across the division.
Identify opportunities for process improvement and increased efficiency within the division.
Qualifications needed :
Bachelor’s degree required.
Preference for experience working within higher education and with senior leaders within an organization
Strong attention to detail with a high level of judgment, discretion, and professionalism.
Proactive and resourceful, with the ability to anticipate challenges and address them efficiently.
Capable of working autonomously, with minimal supervision, while also being a strong collaborator.
Excellent written and verbal communication skills, with a strong command of grammar and professionalism.
Technologically adept, innovative in process improvements, and proficient in data usage.
Financially literate, with experience in managing budgets, expenses, and financial systems like Workday.
Willingness to learn the internal structures of each Enrollment Management (EM) team and act as a collaborative partner across the campus.
