Description
We are seeking an experienced office professional to support the Buildings & Grounds Department by providing timely, efficient, and accurate operational and clerical support for the Director of Buildings & Grounds and other District staff; to maintain accurate and up-to-date records, reports, and inventory. Qualifications
General Qualifications:
1. High school degree/GED and four years of progressive occupational experience or Associate Degree in directly related field and two years of progressive office experience.
2. Strong understanding of office computer operating systems and software including word processing, spreadsheets, and data management and ability to use the data and word processing tools in an integrated solution as well as web-based applications and specialty software packages. Experience with Google Apps preferred.
3. Demonstrated knowledge and expertise in the area of accounting; ability to organize accounting and financial reports.
4. Demonstrated advanced business math/computational skills.
5. Strong keyboarding/typing skills.
6. Ability to multi-task and prioritize tasks to meet strict deadlines.
7. Strong organizational skills and attention to detail.
8. Strong, professional communication skills, both verbal and written; demonstrated effective public relations, communication, and interpersonal skills; ability to work successfully with a variety of people.
9. Ability to work alone and unsupervised for extended periods of time.
10. Demonstrated ability to maintain confidential information.
11. Demonstrated problem-solving skills.

Position Typical Duties and Responsibilities:
It is understood that individual positions covered by this job description may place significantly more emphasis on some duties over others.
1. Initiate requisitions and track purchase orders related to the Buildings & Grounds department
2. Through the accurate entry of database information and monitoring of account information, assists the Director of Buildings & Grounds in the management/maintenance of the Buildings and Grounds department.
3. Provides clerical support for Buildings & Grounds (typing, filing, copying, scanning, faxing, etc.) for the development and maintenance of the District’s Facility Maintenance and Capital plan.
4. Perform word processing and type confidential correspondence for the Director of Buildings and Grounds.
5. Disseminate information as directed by the Director of Buildings & Grounds.
6. Assist in the collection of data and research regarding current building issues and how other districts are addressing them.
7. Assist in preparing executive summaries, RFP’s, bid summaries, and service contracts.
8. Assist the Executive Assistant to the Superintendent and Board of Education and other District Office staff when needed.
9. Sort and open all Buildings & Grounds mail and respond accordingly.
10. Maintain files for the Director of Buildings and Grounds.
11. Assist in accommodating internal and external customers seeking information or expressing concerns.
12. Provide phone coverage for the Director of Buildings & Grounds.
13. Provide administrative assistance to the Director of Buildings & Grounds as needed.
14. Maintain and update databases regarding Buildings & Grounds as necessary.
15. Maintain and update door security database as needed.
16. All other duties as assigned.
