Job Title: Document Prepper

Employment Type: Part-time: 20-25 hours per week

Location: Clearwater, FL

Summary: This position is primarily responsible for preparing documents for scanning and adhering to quality control procedures by performing the Essential Duties and Responsibilities listed below. The focus of this job is on producing high quality, detailed work based on established standards, guidelines and procedures. Precise, consistent work output is essential requiring patience and a willingness to handle and complete one task at a time. Consistent, error free work based on defined regulations and standards are key measures of job performance success. The job environment promotes steady, methodical work output so that job routines can be completed on time and error-free.

Essential Duties and Responsibilities:

Core duties and responsibilities include the following. Other duties may be assigned.

Document Preparation:

  • Prepares documents received from clients for scanning.
  • Removes staples, paper clips, and fasteners.
  • Places “post its” or other small items or notes on separate sheets of paper.
  • Straightens folded corners and repairs torn edges.
  • Recognizes type of documents to be scanned (the required “core” documents) versus those documents that do not require scanning.
  • Inserts file header sheets and document separator sheets.

Reconstructing Documents:

  • Reconstructs documents by replacing the staples, clips, binding materials, post it notes, etc. to the documents as found originally.

Quality Control:

  • Inspects document reproductions for defects such as folds, tears, or blemishes, and also helps with indexing of documents for each job to preserve document organization.
  • Judges whether scanned images are reproduced as faithfully as possible to the originals.
  • Inspects images for blemishes or other defects present from the originals and uses any filters and enhancements necessary to improve the image.
  • Keeps original documents and hard copies in order after scanning.
  • Ensures that soft copies are recorded and stored correctly, to avoid file corruption and the need to spend extra time on reproduction.

Education and/or Experience:

  • High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.

Language Skills:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Computer Skills:

  • To perform this job successfully, an individual should have knowledge of: Database Software (Access); Internet Software; Spreadsheet Software (Excel); Inventory Software; Word Processing Software (Word); Electronic Mail Software (Outlook); and Imaging.

Other Skills and Abilities:

  • Ability to operate the imaging scanners and office equipment.
  • Strong attention to detail is a cornerstone of this position.
  • This is a high-volume, fast-paced position that requires someone who can work quickly while maintaining quality of work.

  • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is frequently required to stand; walk; and stoop, kneel, crouch, or crawl.
  • The employee must occasionally lift and/or move up to 50 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
