The Club Relations & Events Coordinator will report directly to the Club Program Manager and play a crucial role in supporting club patron services by managing member profiles, tracking communications, and ensuring the successful execution of event details across various departments and STG venues. This role involves supporting the organization and execution of events, as well as assisting with sales and marketing efforts. The Club Relations & Events coordinator will collaborate closely with the Club Relations & Events Assistant Manager to ensure timely and efficient execution of all club events and programs. The ideal candidate must be flexible and available to work evenings, weekends, and holidays. This position earns between $22.34 - $26.80 hour, plus medical, dental, vision, life, ltd, std insurance, as well as paid vacation, sick and holidays and a 403b retirement plan with a discretionary match.
Work Schedule:
• 40 hours per week
• Must be available to work evenings, weekends, and holidays to support events and experiences.
• Travel to Remlinger Farms during the spring, summer, and fall for STG’s Concerts at The Farm and THING is required.
Core Responsibilities:
• Event Coordination: Assist in the overview of all logistics for club events, including vendor management, catering, partner agreements, and staffing/operations across multiple venues. Supports execution and operation of Club experience at Remlinger and THING.
• Client & Event Management: Assist in managing all event details for major donor and corporate sponsor functions, ensuring a seamless experience for members and guests.
• Profile & Membership Management: Update and maintain club member profiles, track communication history, EA guest attendance and identify potential new members and corporate trade/partnership leads
• CRM & POS Management: Maintain client/member information, event schedules, and sales data in CRM (Salesforce) and POS (Archtics) systems.
• On-site Event Support: Provide day-of show support for club events and club ingress, primarily at The Paramount Theatre year-round and Remlinger Farms during the late spring, summer, and fall months.
• Post-event Feedback: Regularly follow up with club members and patrons to collect feedback and evaluate their event experiences to ensure top quality service.
• Marketing & Collateral: Assist with the organization and updating of marketing materials, such as flyers, signs, socials, and photos across all club spaces and events in STG venues.
• Inventory Management: Support in managing stock and maintaining event-related supplies and collateral. Identifying any needed upkeep and/or maintenance requests in all club spaces.
• Other duties may be assigned as needed with flexibility to take on new roles or responsibilities as the company evolves.
Preferred Qualifications:
• At least 1 year of experience in event planning, administration, sales, coordination, or production, preferably in the arts, entertainment, or hospitality industry.
• Strong organizational and multitasking skills with a keen attention to detail to manage a high volume of tasks in a fast-paced environment.
• Proven ability to deliver exceptional customer service and hospitality for both internal and external clients.
• Flexibility to work evenings, weekends, and holidays as dictated by business needs.
• Ability to work independently and take initiative, while also working effectively in a collaborative team environment.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio).
• Experience with CRM (Salesforce) and POS systems (Archtics) is preferred.
• Ability to travel to off-site events, client meetings, and sales calls as necessary.
