As we expand, we are looking for an enthusiastic, organized, and friendly Receptionist / Appointment Setter to join our team and support the smooth operation of our clinic.

Position Overview: As the first point of contact for our patients, the Receptionist / Appointment Setter will play a crucial role in ensuring the clinic runs efficiently while delivering exceptional customer service. In this role, you will manage patient appointments, assist with administrative tasks, and provide a warm and welcoming environment for patients from their initial call through to their in-person visits. This is an excellent opportunity for someone with excellent communication skills and a passion for supporting people on their health and wellness journey.

Key Responsibilities:

  • Greet and check in patients as they arrive at the clinic, ensuring a welcoming and professional environment.
  • Manage patient appointments by scheduling, confirming, and rescheduling appointments as needed.
  • Answer incoming calls and respond to inquiries about the clinic’s services, treatments, and programs in a friendly and informative manner.
  • Maintain an organized appointment calendar to ensure efficient use of time and resources.
  • Assist patients with paperwork and intake forms as needed.
  • Collect and verify client information and payment details, ensuring accuracy.
  • Ensure all client data is accurately entered into our electronic health records (EHR) system.
  • Provide administrative support to the clinic staff, including preparing documents and handling office correspondence.
  • Handle patient concerns or complaints with empathy, professionalism, and timely resolution.
  • Help manage the clinic's daily operations by maintaining a clean, organized, and stocked reception area.
  • Assist with follow-up calls to confirm appointments or provide additional information to clients.

Qualifications:

  • High School Diploma or GED required; additional administrative or healthcare-related certifications are a plus.
  • Previous experience in a medical office, clinic, or customer service role is preferred.
  • Exceptional communication skills, both verbal and written, with a professional and friendly demeanor.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Knowledge of basic office software (Microsoft Office, EHR systems, etc.) and comfort with using computers for scheduling and communication.
  • Strong attention to detail and accuracy when handling client data and appointment scheduling.
  • Positive attitude and a passion for customer service with a focus on client satisfaction.
  • Ability to work well independently as well as part of a collaborative team.
