Job Overview
The Bookkeeper has a strong background in accounting and generally accepted accounting principles. Experience in the construction industry is beneficial. The position will be primarily responsible for assisting with the finances of the company, providing bookkeeping services, maintaining a financial bookkeeping system including accounts payable, accounts receivable, invoicing, collections, and payroll processing. The bookkeeper also assists with office administration duties such as answering phones, assisting with office supply ordering and other duties as assigned.
Responsibilities and Duties
- Performing basic office tasks, such as creating client files, entry of client information into software, answering phones, processing the mail, office supply inventory, etc.
- Full-cycle accounting including GL, A/R, A/P and a bi-weekly payroll
- Identify and resolve discrepancies for vendor proposals, invoices, statements and timesheets.
- Responsible for tracking and collection correspondence for past due invoice payments
- Process accounts receivable/payable, invoicing and handle payroll in a timely manner
- Maintaining records of financial transactions by posting and verifying
- Developing systems to account for financial transactions by establishing a chart of accounts
- Maintaining subsidiary accounts by posting, verifying and allocating transactions
- Reconciling entries to balance subsidiary accounts
- Maintaining a balanced general ledger
- Handle deposits, bank and credit card reconciliations
- Preparing a trial balance for the accountant
- Preparing financial reports by collecting, analyzing and summarizing accounting for information
- Project profitability tracking from preliminary through CA
- Perform month-end closings
- Monitoring for variances from the projected budget
- Ensure adherence to accounting standards and tax law
- Preparing monthly or quarterly income statements, balance sheets, and cash flow reports
- Quarterly and annual tax preparation for external CPA’s distribution calculations and Year End tax return
- Work with external Human Resources consultants on hiring and separations
- Assist Human Resources with and coordinate IT setup for new employees
- Set up physical work spaces for new employees
- Handle registrations and/or add AutoCAD/Adobe/Zoom/Bluebeam/Photo Shop/Door Lock/KIP/Timesheets and copier software
- Oversee (with HR assistance) all company benefits administration and renewals
- Oversee payroll and time keeping systems
- Assist Human Resources, as needed, with annual performance reviews
- Review project contracts as required for the position
- Project billable hours for active projects
- Yearly renewals of all insurances
- W-9 management and reporting
- Assist HR with workers compensation insurance audits and renewals
- Assist architects with RFPs as needed
- Order required office supplies
- Handle the personal finances of the company President
Qualifications
- 3 years of proven bookkeeping experience
- Solid understanding of basic bookkeeping and accounting payable/receivable principles
- Proven ability to calculate, post and manage accounting figures and financial records
- Strong data entry skills along with an aptitude for numbers
- Proficiency in MS Office, QuickBooks, ZOHO (plus), and Paylocity (plus)
- Exceptional time management and verbal and written communication skills.
- Familiarity with basic accounting principles.
- Professional manner and a strong ethical code.
- Ability to multitask and remain motivated and positive.
- Commitment to working efficiently and accurately.
- Must be able sit for long periods of time
- Must be able to use repetitive motions while working on the computer
- Must be able to talk, listen and speak clearly on telephone
