This is a full-time, in-office position at our Opelika, AL office. Standard hours are Monday–Friday, 8:00 AM – 5:00 PM.
Responsibilities
- Front Desk & Client Interaction – Be the first point of contact for clients, visitors, and vendors. Answer and direct calls promptly and professionally.
- Appointment Scheduling – Manage attorney and case manager calendars, schedule client consultations, and confirm appointments.
- Document Management – Receive, scan, and distribute mail, faxes, and legal documents. Keep case files organized and ensure proper filing.
- Client Intake Support – Assist with new client intake by gathering basic case information and directing inquiries to the appropriate team members.
- Correspondence Handling – Draft and send emails, letters, and other communications. Ensure all client interactions are properly documented in the case management system.
- Office Coordination – Assist with general administrative tasks to ensure smooth office operations, including ordering supplies and maintaining the front desk area.
- Confidentiality Compliance – Handle sensitive client information with discretion and uphold all firm policies and ethical standards.
- Multitasking & Prioritization – Manage a high volume of calls, walk-ins, and administrative tasks while maintaining professionalism and efficiency.
Qualifications & Skills
- Preferred Experience: Prior experience as a legal assistant, receptionist, or in a similar administrative role, especially in a law firm setting.
- Clerical Proficiency: Strong typing, filing, and data entry skills with a high attention to detail.
- Document Management: Experience using legal document management systems to organize and maintain case files.
- Communication Skills: Strong verbal and written communication skills with a professional and client-friendly demeanor.
- Attention to Detail: Ability to proofread legal documents for accuracy and completeness.
Compensation & Benefits
- Compensation is based on experience and qualifications.
