The Human Resource Assistant maintains employee records, serves as a resource to applicants, employees, and supervisors, and provides various support functions to the HR department in the functional areas of hiring and employment, employee relations, training, benefits and retention, and administration.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Additional duties may be assigned. Management retains the discretion to change or add to the duties of this position at any time.
  • Process-in new hires and rehires including reviewing completeness of legal paperwork, explaining company policies, scheduling training classes, making ID cards, and administering drug screens.
  • Track status of new hires and rehires through processing-in processes, ensuring they are completed in a timely manner within policy.
  • Create and maintain personnel files.
  • Answer on-site and phone inquiries and provide accurate information to applicants, employees, vendors, and supervisors concerning employment policies and procedures.
  • Responsible for monitoring and proactively maintaining legal compliance including but not limited to I-9’s W-4’s, and G-4’all in accordance with expiration of noncitizen identification and social security receipts.
  • Audit and assist in completing all employment and HR paperwork including but not limited to on and off boarding paperwork and vendor correspondence.
  • Respond to employment verification inquiries in writing within policy/legal limitations.
  • Administer on-site random drug screens and sort and track all drug screen results.
  • Prepare class list for trainers and new hire orientation materials. Ensure proper payroll processing for trainers including bonus, and payroll for all class attendees.
  • Assist in planning and executing employee events and programs as requested by HR Manager or Director.
  • Assist in administering employee incentive and reward programs.
  • Execute yearly exchange of employee ID cards, dependent ID cards, and parking tags.
  • Reception of internal and external guests.
  • Operation of standard office equipment including copier, fax, scanner, and phone.
  • Open and distribute incoming and outgoing mail. Arrange for pickup of overnight delivery packages.
  • Maintain an inventory on all office, breakroom, cleaning, and printed material supplies and make recommendations for updates and reorders as needed.
  • Maintain and clean common office space, including submitting appropriate work orders for building or equipment repair.
  • Maintain company documents and employee records, including filing documents into appropriate files.
  • Maintain a current HR Contact List, including emergency contacts for each HR staff member.
  • Assist with other projects and situations, including payroll, accounts payable, benefits, supply procurement, training, interviewing, and prescreening, and employee communication.
  • Perform errands on or off property.
  • Work on-park for other departments during special events or festivals.

  • Must understand, read, write, and speak the English language.
  • Must be at least 18 years old.

  • Must have the ability to effectively cope with change and have flexibility in work duties to meet the demands of a constantly changing environment.
  • Must have the ability to work days, weekdays, weekends, and holidays.
  • Must have the ability to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Must solve practical problems and deal with ambiguity and a variety of concrete variables in situations where limited standardization exists.
  • Must have a good to excellent ability to draft routine reports and correspondence with proper spelling and grammar.
  • Must have ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Must have ability to compute rate, ratio and percentage.
  • Must be able to interpret various instructions furnished in written, oral, diagram, or schedule form.
  • Must have high interpersonal skills to handle sensitive and confidential situations and documents responsibly.
  • Typical work schedule: 8:30 AM-5:00 PM Monday through Friday, with some holidays required. Two Saturday shifts a month are required. Occasional overtime required.
EDUCATION and/or EXPERIENCE
  • High school diploma or equivalent.
  • Some college or technical coursework preferred.
  • Minimum of two (2) years job-related high-volume office experience or equivalent.
  • Experience that provides the required knowledge, skills, and abilities used in an Office setting.
  • Human Resources experience preferred.
  • Proficiency in using Microsoft Word, Outlook, Excel, and the Internet is required.
  • Experience with Microsoft Publisher and Access preferred.
  • Experience with HRIS such as Paycor software preferred.
CERTIFICATES, LICENSES, REGISTRATIONS
  • Must have and maintain a valid Driver’s License.

Must be able to take directional cues directly and indirectly.
