Office Admin – Stonehouse Foundation Repair
Location: In-Office | Pay: $17/hour Quarterly Raises
Stonehouse Foundation Repair is seeking a highly organized and proactive Office Admin to oversee daily office operations, ensuring seamless communication, efficient scheduling, and exceptional customer service. This role is crucial in supporting our foundation repair, roofing, and home improvement services by coordinating administrative tasks, maintaining compliance, and assisting with project documentation.
Key Responsibilities:
- Customer Communication: Answer and return customer calls, manage appointment schedules, and ensure smooth communication between clients, sales reps, and project managers.
- CRM & Documentation Management: Verify appointment details, ensure all notes are up-to-date in CRM systems (JobNimbus, SumoQuo), and monitor photo documentation (minimum of 40 pictures per project) in CompanyCam.
- Project Coordination: Provide updates on quotes and project statuses to the General Manager.
- Permits & Compliance: Pull permits, stay up to date on contractor registrations, and manage necessary paperwork for city and engineer inspections.
- Inspection Scheduling: Coordinate and schedule engineer inspections, city inspections, and request assumption letters and completion reports.
- Networking & Relationship Building: Occasionally attend networking events to represent the company and build relationships with industry professionals.
- Office Operations: Assist with general office tasks, vendor coordination, and supply management to ensure the office runs efficiently.
Required Skills & Qualifications:
- Strong communication and multitasking abilities.
- Proficiency in CRM systems (JobNimbus, SumoQuo, CompanyCam) and other administrative tools.
- Attention to detail, organization, and problem-solving skills.
- Ability to maintain a high level of customer service and professionalism.
- Experience in foundation repair, construction, home services, or a related industry is a plus.
