High School Diploma/GED (foreign equivalent or higher). Four (4) years of full-time clerical experience, preferably in a payroll-related role. Demonstrated understanding of appointments, payroll, and timekeeping. Computer proficiency to include Microsoft Office Suite and/or Google Workspace.
Preferred Qualifications
Proficiency in Oracle. Proficiency in Peoplesoft.
Brief Description Of Duties
In this role, the incumbent must possess strong customer service skills, an ability to prioritize workflow, resolve discrepancies, and work independently, as well as within a team environment. Incumbent will provide payroll, compliance, time and attendance and appointment related functions for professional, classified, graduate/undergraduate, and hourly employees, as needed.
Payroll Process: Analyze, evaluate, calculate and process Appointment, Change and Fellowship Forms for Approximately 800 employees on a bi-weekly basis, ensuring payroll deadlines are met. Responsibilities include new appointments, terminations, extensions, reactivations, rate changes, FTE changes, promotions, department transfers, advances, distribution adjustments and labor schedules. Review all forms for accuracy. Forward copies of all forms with sponsored awards to Grants Management for approval and signature. Monitor Spreadsheet for forms not received back from Grants Management on a bi-weekly basis. Re-scan approved forms into NOLIJ when returned. Review and evaluate which forms need to have letters initiated and give copies to the Senior Clerical Specialist. Analyze, review, calculate and process Vacation Payments. Data Analysis: Audit payroll through the RF KBACE system checking for accuracy on a bi-weekly basis. Audit payroll through the Tending Report for accuracy. Audit hourly and overtime payments through RF hourly reporting for accuracy. Compliance: Responsible for completing I-9 forms with new and returning employees and collecting and copying the appropriate documents. Process I-9’s through the E-Verify and Department of Homeland Security database for all new RF employees and returning employees. Process the I-9’s through the E-Verify system, ensuring the employee is cleared to work through the Homeland Security and Social Security databases. Help resolve tentative non-conformations with the employees through the Department of Homeland Security. Review and input Federal and State taxes, ensuring tax forms are completed accurately and are in compliance with Federal and State guidelines. Review of all non-resident alien employees’ documents to ensure they are in compliance with the Department of Homeland Security guidelines. Calculate and Process overpayments and lost time, ensuring all taxes, SS & Medicare deductions are calculated and reviewed for accuracy according to Federal and State tax guidelines. Work closely with employees, department administrators and Benefits department for employees on leaves and FMLA, ensuring sick and accrual days are accurately calculated and FMLA time is monitored for compliance. Time and Attendance: Analyze, audit, calculate and monitor classified time sheets in conjunction with the Research Foundation Policy guidelines. Enter Overtime into the RF Timekeeper System. Analyze, audit and calculate hourly time sheets for accuracy. Enter hours into the RF Timekeeper System. Scan Hourly and Classified timesheets into NOLIJ. Maintain Peoplesoft for Exempt employees. Maintain rosters for Graduate Student employees, working with department administrators, ensuring all rosters are received and scanned into NOLIJ. Maintain rosters for Summer Faculty employees, working with department administrators, ensuring all rosters are received and scanned into NOLIJ. Employee Correspondence: Troubleshoot and assist employees with the exempt Solar system. Prepare written notices and correspondence, handling telephone and email inquiries. Assist new employees on how to use the HR Self Service Database. Additional Duties:
