Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher). In lieu of a Bachelor’s degree, an Associate’s degree and two (2) years of full time administrative experience may be considered. Two (2) years of full time administrative experience (student experience may be considered). Experience with Microsoft Office Suite, Google Applications, and/or database systems.
Preferred Qualifications:
Experience with customer service, event or program planning. Experience with PeopleSoft, Navigate, Wolfmart and/or database systems. Experience working with a diverse student population.
Brief Description of Duties:
The Office of Student Conduct and Community Standards (SCCS) is seeking a Student Conduct Assistant to provide operational and administrative support for their office and staff. The Student Conduct Assistant reports to the Director of Student Conduct and Community Standards along with a shared support relationship to all staff within the office. The Student Conduct Assistant must be proactive, detail-oriented, maintain strict confidentiality and provide essential support and flexibility to the office to ensure that operations run smoothly and that deadlines are met. The ideal candidate is detail-oriented, a self-starter, and possesses the ability to work independently and with a team of colleagues. The incumbent must be adaptable and able to learn quickly to be able to perform adequately in a variety of roles that align the qualifications of this position. They must also be able to work effectively with various stakeholders both internal and external to the University.
Responsibilities include, but are not limited to:
Office of Student Conduct and Community Standards Support:
- Provide program and administrative support to the Office of Student Conduct and Community Standards. Manage incoming and/or confidential phone calls, emails, and correspondence. Coordinate and schedule meetings, appointments, and space reservations. Support the SCCS team with project coordination and follow-up. Interact and coordinate with external and internal partners including but not limited to VPSA, UPD, Legal Counsel etc. Assist with event, program, and activity coordination and execution. Compile and organize reports, presentations, and documents as needed. Serve as a liaison to internal and external stakeholders, including but not limited to students, staff, faculty, parents/families, Procurement, Building Management, Facilities, and vendors, to ensure smooth communication, collaboration, and operations. Work with and maintain confidential and sensitive information, abiding by appropriate privacy laws and best practices.
Customer Support:
- Respond promptly and accurately to inquiries by managing phone and email communications for SCCS. Establish a respectful work partnership with stakeholders internal and external to the University. Engage with students in supporting their success through appropriate referrals, records requests, and/or conduct checks/certifications. Maintain positive interactions with students, staff, and faculty by acting as a knowledgeable, professional contact in disseminating information about resources and events on our campus. Maintain collaborative working relationships with members of the campus community and colleagues to ensure a high level of customer service for all programs and initiatives offered by SCCS.
Professional Development and Committee Involvement:
- Participate in opportunities that promote your learning, growth, and development (i.e. classes, training, committee, webinar, etc.). Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your individual unit/department (i.e. campus wide traditions, events, programs, etc.). Other duties or projects as assigned as appropriate to rank and departmental mission. Evening and weekend work may be required at times.
Special Notes:
This is a part-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.
