Job Summary:
Ensure that the organization’s financials records are accurate and up to date. Prepare financial statements and reports and provide financial analysis to help management make informed decisions. Process payroll while ensuring compliance with payroll regulations, maintain accurate records, and respond to employee inquiries.
Key Responsibilities:
- Manage budgets for the organization, including developing and monitoring budgets and providing financial guidance to other departments.
- Prepare monthly, quarterly, and annual financial reports to provide management with a clear picture of the organization’s financial health.
- Review, process and reconcile financial records, bank statements. customer invoices, and other financial documents ensuring accuracy and timeliness.
- Process payroll for all employees, including calculating regular and overtime pay, taxes, and deductions.
- Maintain accurate records of employee pay and benefits, including attendance records, time off requests, and other related documents.
- Ensure compliance with federal, state, and local laws and regulations, related to payroll and employee compensation, along with company policies, procedures, and accounting standards.
- Communicate effectively with co-workers, supervisors, customers and vendors, providing detailed information, clear instructions, and timely updates regarding payroll, invoices and payments.
- Effectively lead or assist in the preparation and processing of payments to vendors and suppliers.
- Understand and stay current with accounting regulations and industry standards to ensure that the organization is compliant with all financial reporting requirements.
- Collaborate with other departments and team members to ensure the accuracy and completeness of financial data.
- Manage customer and vendor accounts, ensuring accuracy of information and timely communication.
- Coordinate and follow-up on customer payments and outstanding balances.
- Continuously seek opportunities for professional development in accounting and finance.
- Support all safety procedures and regulations in the trucking industry, promoting a culture of safety and escalating concerns when necessary.
- Availability as/if/when needed, for after-hours, weekends, and holidays to support the department to ensure positive outcomes for the team.
- Other duties as needed and assigned.
Qualifications:
- Education: Bachelor’s degree in accounting, finance, or a related field.
- Experience in payroll and accounts receivable/payable within the logistics or transportation industry preferred.
- Technical Proficiency using computers, office equipment, copiers and printers.
- Advanced proficiency in QuickBooks, Microsoft and Google Sheets preferred.
- Problem-Solving skills with the ability to handle multiple tasks and prioritize effectively to meet deadlines.
- Adaptability to changing circumstances, able to handle stress positively and effectively in a fast-paced environment.
- Teamwork: ability to work collaboratively as part of a team.
- Communication: Exceptional verbal and written communication skills, ensuring clarity, professionalism, and effectiveness in all interactions with the ability to manage sensitive and confidential situations.

Working Conditions:
- Hours: Full-time, typically 45 hours per week, with the potential for extended hours based on operational needs.
- Environment: Office setting.
Physical Requirements / Work Environment:
- Ability to sit and / or stand for 8-10 consecutive hours per day
- Ability to walk, talk and hear, use finger and hand dexterity, bend, stoop, kneel, climb and crouch.
- Ability to lift up to 15 lbs.
- Ability to adapt to a flexible schedule as needed to ensure continuous operations.
