REQUIREMENTS :
High School diploma or equivalent. Previous experience as Service Clerk and / or service background required. Three years’ experience normally required using word processing and spreadsheet software. Good verbal, written and interpersonal skills required.
JOB SUMMARY :
Works with Service Manager to process all service work orders to include tracking and collection of service reports and reviews them for errors. Reviews all work orders for proper segmentation, travel charges, miscellaneous charges, mileage, customer information, parts & core returns, etc. Must be capable of making changes as needed and pointing out errors which are outside of Coordinator's responsibility to Service Manager. Must be able to work with techs on a daily basis and retrieve required information from them.
RESPONSIBILITIES :
Reviews labor, mileage, and parts on work orders to ensure accuracy.
Processes service work orders to include opening, closing and changes.
Reviews machine repair history on all repairs for possible warranty.
Reviews work orders for possible new or other machine warranty.
Processes purchase orders and outside invoices in a timely manner and within company procedures.
Reviews all open work orders and has service reports written.
Reviews all service reports and has corrections made as needed.
Maintains field service work order history folders.
Assists in filing, delivery and retrieval of mail, recording and delivery of samples, Visa reconciliation.
Posts all oil, diesel, etc accurately to the appropriate service work order.
Enters time cards labor and mileage accurately.
Maintains knowledge of "Dealer Business System" as needed to perform duties.
Has knowledge of equipment, supplies and procedures necessary to perform duties.
Answers telephone promptly in a professional manner.
Work performed is mistake and error free.
Follows directions accurately and performs tasks in an efficient time.
Shows interest in own work.
