Responsibilities (Other duties may be assigned to meet business needs):
- Provide administrative support to the Public Markets team, with primary focus on supporting senior team members.
- Arrange heavy international and domestic travel arrangements, including preparing background information packet for travel.
- Prepare, submit, and track expense reports for all team members, ensuring compliance with corporate policy.
- Heavy calendar management.
- Schedule, prepare for, and organize internal and external meetings.
- Review and format presentations and general correspondence.
- Maintain and update current and prospective manager contacts, meeting notes, and presentations in Tamale RMS database or SmartSheets.
- Collect and organize quarterly investment manager performance commentary.
- Work independently and within a team on nonrecurring and ongoing projects.
- Organize and collate quarterly analytics for review.
- Distribute annual fee/liquidity update request to external managers.
- Distribute annual DEI and ESG questionnaire to external managers.
- Update various internal spreadsheets.
- Serve as Public Markets team’s vendor owner updating Operational Due Diligence annually
- Organize team functions.
- Work with Administrative Team to ensure fluidity of scheduling across the firm.
- Ensure filing systems and records are maintained and up to date.
- Assist in improving existing processes and implement more efficient solutions.
Qualifications/Requirements
- Minimum of three years’ experience as an Administrative Assistant; experience in the finance industry preferred.
- Bachelor’s degree preferred.
- Experience supporting multiple teams.
- High-proficiency using MS Office products (Word, Excel, PowerPoint and Outlook).
- Tech savvy – CRM experience and/or knowledge of Tamale RMS preferred.
- Knowledge and experience in scheduling domestic and complex international travel.
- Strong calendar management skills.
- Experience with preparing and submitting expense reports.
- Excellent verbal and written communication skills required.
- Exceptional organizational and time-management skills. Ability to prioritize multiple tasks and demands.
- Ability to interface well with all departments and to represent the firm in a professional manner.
- Continuous improvement orientation.
- Must be equally skilled at working both independently and within a team.
- High attention to detail and excellent proofreading skills required.
