The Executive Assistant provides administrative support to the Executive Leadership Team, frequently handling confidential, sensitive, and urgent information and materials.
Principle Duties And Responsibilities
- Assists with managing meeting details for the Executive Leadership Team and Board of Directors, including but not limited to: scheduling, coordinating travel arrangements, preparing and distributing materials, and providing technical assistance.
- Assists with recording corporate minutes for Board-level committees, and executive and senior management meetings.
- Serves as back-up to the Corporate Secretary in managing administrative matters for the Executive Leadership Team, Board of Directors, and Shareholders.
- Coordinates travel arrangements for the Executive Leadership Team and Board of Directors.
- Files expense reports for the Executive Leadership Team.
- Maintains the executive conference room.
- Greets visitors for the Executive Leadership Team.
- Performs other duties as assigned.
EDUCATION AND/OR EXPERIENCE
- High School Diploma, or equivalent, required.
- 1-3 years’ experience executive administration, required.
- A significant level of tact, discretion and diplomacy essential.
- Excellent verbal, written, and interpersonal communication skills.
- Detail-oriented and strong organizational skills.
