Position Summary
As a Mailroom & Shipping Clerk at StrongMind, you will play a vital role in managing all incoming and outgoing mail and shipments, ensuring timely and accurate distribution to internal teams, remote staff, and external recipients. You will also assist with event setup and teardown, track shipments, and oversee student ID distribution. This role requires excellent organization, attention to detail, and the ability to work in a fast-paced, collaborative environment.
Primary Duties and Responsibilities
Mail & Shipping Management:
- Incoming Mail Handling:
- Receive, sort, and log all incoming mail and packages.
- Track incoming shipments, ensuring they are delivered to the correct recipients in a timely manner.
- Identify, investigate, and resolve any misdirected or lost incoming shipments.
- Outgoing Mail & Shipping:
- Prepare and ship outgoing mail and packages, including labeling, postage, and coordination with carriers (USPS, FedEx, UPS, etc.).
- Obtain and process orders for shipping inventory, materials, and supplies to remote staff and clientele.
- Track and log all outgoing shipments, ensuring visibility into package movement and final destinations.
- Communicate with service providers to ensure timely deliveries and request refunds when services fail.
- Mailroom & Supplies Maintenance:
- Maintain an organized mailroom, ensuring all supplies are stocked and equipment is operational.
- Manage supply rooms and service supply stations, keeping management aware of supply shortages.
Additional Responsibilities:
- Student ID Distribution:
- Pick up student photo IDs from the marketing department and ship them out accordingly.
- Log and track student ID shipments to ensure successful delivery.
- Event & Office Support:
- Assist in setting up and tearing down company events as needed.
- Provide additional backup support to department heads.
- Perform all other duties as assigned.
Specific Job Skills/Abilities
- Strong organizational skills and attention to detail.
- Ability to lift, push, pull, and load at least 50 lbs.
- Proficiency in basic computer skills, including email, tracking systems, and Microsoft Office.
- Strong communication and interpersonal skills.
- Ability to work independently and within a team.
- Knowledge of shipping services and pricing structures.

Education/Training
- High school diploma or equivalent required.
- 1 years of experience in shipping & receiving, logistics, mailroom, or a similar role preferred.
