Job Review:
We are seeking a highly organized and detail-oriented Medical Office Administrative Assistant to join our oncology practice in a back-office role focused on financial and administrative support. This position plays a vital role in managing invoices, payments, and banking tasks, helping to ensure smooth financial operations behind the scenes. This is not a patient-facing or clinical charting position.
Responsibilities:
- Process, file, and organize incoming invoices, payment records, and related documentation
- Track and reconcile payments from patients, insurance companies, and third-party vendors
- Prepare and make bank deposits in accordance with office protocols
- Maintain and update internal records of accounts payable/receivable
- Communicate with vendors regarding billing questions, discrepancies, and payment statuses
- Assist with monthly financial reporting and reconciliation tasks
- Ensure compliance with office financial procedures and support audits or reviews as needed
- Coordinate with the billing team and external accountants as necessary
- Maintain confidentiality and security of sensitive financial and business data
- Perform general administrative duties such as scanning, filing, data entry, and document preparation
Qualifications:
- High school diploma or equivalent required; associate degree or certification in medical office administration, accounting, or a related field is a plus
- 1–2 years of experience in a medical office or administrative setting, preferably with financial or billing responsibilities
- Strong understanding of basic bookkeeping and office financial processes
- Proficient in Microsoft Office, particularly Excel and Outlook; familiarity with accounting software is a plus
- Highly organized with strong attention to detail and accuracy
- Able to handle confidential information with integrity and professionalism
- Self-motivated and comfortable working independently in a supportive team environment
Job Type: Full-time
Pay: $20.00 - $22.00 per hour
