Position Description

Position Summary

The Enrollment Communication Coordinator for the School of Graduate and Professional Studies is responsible for supporting and executing strategic communication efforts to enhance graduate enrollment. Reporting to the Associate Director of Enrollment Technology and Communication, this role plays a pivotal part in developing, coordinating, and maintaining professional-level messaging through email, text, and print campaigns. The manager will monitor the effectiveness of these enterprise-level communications, ensuring seamless and data-informed messaging flows to prospective and current graduate students.

This position requires strong writing, editing, and organizational skills to craft high-quality communications while managing queries, reports, and workflows within the CRM (Slate). The manager will collaborate closely as part of the Enrollment Technology and Communication team to assess updates or changes that impact communication processes or business workflows. Additionally, the role serves as a key partner to the Director of Enrollment, Graduate and Professional Studies, supporting broader enrollment office operations, including customer service, data entry, and CRM management.

Beyond communication duties, this role requires proactive engagement with various university departments, particularly the Office of Marketing and Communications, to ensure messaging aligns with institutional branding and enrollment objectives. The ideal candidate is a motivated, detail-oriented professional with higher education experience, proficiency in CRM platforms, and the ability to manage multiple responsibilities in a dynamic environment.

Education Required

  • Bachelor’s degree in communications, marketing, business administration, higher education administration, or a related field.

  • Experience in a professional communication role, preferably within higher education.
  • Strong writing, editing, and organizational skills.
  • Experience providing administrative support and customer service in a professional setting.
  • Proficiency in managing data, maintaining accurate records, and using enterprise-level systems (e.g., Microsoft Office, CRM platforms).

Experience Preferred

  • Experience working in an enrollment, admissions, or student services office in higher education.
  • Experience managing communications within a CRM system, preferably Technolutions Slate.
  • Knowledge of web content management and basic web design.
  • Experience with data analysis, reporting, and workflow management.
  • Familiarity with marketing and communication strategies in an educational setting.

  • Familiarity with basic HTML or email template design for enhanced campaign customization.

Driving Requirements

This role will occasionally require the manager to commute between the Winding Hill and Grantham Campus to work with both the SGPS enrollment team and the ETC team.

Duties

Essential Employee N/A Primary Duties

Communication & Customer Service

  • Deliver exceptional customer service through in-person interactions, written communication, and telephone support.
  • Serve as the primary contact for graduate enrollment office phone calls and maintain the School of Graduate Studies enrollment email account.
  • Monitor the Slate CRM Gateway Inbox, assigning messages to the appropriate student records.
  • Maintain a thorough understanding of graduate programs, application processes, requirements, and the graduate student experience to provide assistance.

Enrollment Communication & CRM Management

  • Assist in building, executing, and maintaining email and text communication campaigns within the CRM (Slate) under the guidance of the Associate Director of Enrollment Technology and Communication.
  • Manage and update queries, populations, and reports related to graduate admissions communication.
  • Collaborate with the Associate Director of Enrollment Technology and Communication to ensure communication aligns with enrollment goals.
  • Monitor campaign effectiveness using CRM analytics tools and provide data-driven recommendations for improvements.
  • Ensure effective campaign deliverability by monitoring bounce rates, managing opt-outs, and maintaining message groups.
  • Contribute to the growth and modification of the Slate CRM platform by acquiring knowledge of emerging resources and tools to support Slate users.

Print & Digital Publications Management

  • Oversee print publications, including schedules, quantities, and budgets, in partnership with the Associate Director of Enrollment Technology and Communication and Director of Enrollment, Graduate and Professional Studies.
  • Process Print Decision Letters.
  • Maintain accurate records of communication schedules, workflows, and processes.

Student Enrollment Support

  • Ensure consistent data management and adherence to business processes established by the Enrollment Technology and Communication Team.

Website & Data Management

  • Responsible for updates and revisions to graduate web pages, including all graduate admission pages, maintaining accurate start term information on the deposited student page and tuition page changes.

Administrative & Operational Support

  • Act as the point of contact for facility concerns in the absence of the Director of Operations and Finance for SGPS and ADP.
  • Pick up and sort mail for all Winding Hill mailboxes and deliver physical deposits received in person or via mail to Falcon Exchange.
  • Maintain office equipment, order supplies, and address general office needs.
