Role Overview: The Mail Processing Representative acts as a key resource for the organization, supporting members and staff with processing of daily mail. The primary responsibility is to handle the collection and processing of mail related to member requests and inquiries, while providing support as needed in the department.
Key Responsibilities:
- Provide in-person and phone assistance to members by answering questions and offering support.
- Assist with document scanning, mail processing, and mailings.
- Handle incoming and outgoing mail and package services efficiently.
- Perform additional duties as requested to support the credit union's mission.
- Verify accuracy and completeness of pre-sorted incoming mail.
- Log all received mail items into a tracking system for accountability.
- Review and route mail to the correct department or individual, flagging misdirected items.
- Scan and digitally archive important documents with proper labeling.
- Handle confidential mail securely, ensuring compliance with security protocols.
- Identify and prioritize urgent mail, such as legal documents and customer disputes.
- Report discrepancies, damaged, or suspicious mail to the appropriate supervisor.
- Maintain organized records of mail transactions for tracking and audit purposes.
Essential Qualifications:
Qualified candidates have a high school diploma or equivalency certification and up to six (6) months of administrative experience is required.
- Proficiency in computer operations and software applications.
- Proven experience in delivering exceptional member/customer service.

- Effective communication abilities with members and external stakeholders.
- Clear and articulate verbal and written communication skills.
