Position Description
Support our financial planning professionals by coordinating client service activities with a focus on delivering the ultimate client experience. This position will be instrumental in helping SWM achieve our expanded growth goals and vision. This role will direct their time and energy to client-support activities (proactive and reactive) so our firm’s financial advisors can direct their focus and energy on deepening client relationships and new client acquisition. This individual will also provide operational support and paperwork processing, including but not limited to, new client onboarding, account service requests, and maintaining accurate records in our CRM platform. The CSA or CSM title and job responsibilities will depend upon skills and experience.
Functional Roles & Responsibilities
- Ownership of SWM’s Client Excellence Model
- Provide accurate, timely, and effective client service support
- Direct Advisor Support
- Scheduling client meetings – confirming meetings, follow-up calls
- Meeting prep, generating reports, and gathering documents
- Maintain the quality and integrity of our client records/files and CRM data
- Managing the Client Onboarding Process – process account opening paperwork, maintain ongoing client communication, ensure accurate account setup, and assist clients on how to utilize our client portal
- Provide proactive client communication and reactive client service support
- Promptly and effectively fulfill client service requests and address any client service issues
- Research and resolve problems directly and/or appropriately escalate to leadership as needed
- Complete cashiering responsibilities and ACH/wire/check requests.
- Generate appropriate statements and oversee the distribution of monthly/quarterly client reports
- Manage and promote relationships with internal and external resource providers
- Build and maintain internal working relationships through effective and timely communication

Education Requirements and Industry Qualifications
· Bachelor’s degree in business or equivalent work experience
· Years in financial services or similar industry: 2 years (5 years preferred)
Preferred Technology Experience and Digital Proficiency
- Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, & Teams) and Adobe Acrobat
- Web Conferencing Platforms (Teams, Zoom, etc.)
- CRM Platforms (Salesforce)
- Portfolio accounting systems (Black Diamond)
- DocuSign (or similar digital signature platform)
- Additional Preferred Technology Experience:
- Fidelity Institutional custodial platform (Wealthscape)
- Egnyte
- MailChimp
Compensation/Benefits
Salary and title is commensurate with experience. Full Benefits Package includes 401(k), Health, Vision, and Dental.
