Job Summary:
The Office Manager will be responsible for overseeing the administrative, accounting, and payroll functions of the office and supporting day-to-day operations. This role requires someone who thrives in a dynamic environment, has excellent communication and organizational skills, and can manage multiple tasks simultaneously. The Office Manager will be a key player in helping the business run efficiently and continue to grow.
Key Responsibilities:
- Manage phone calls, emails, and inquiries from clients, vendors, and suppliers.
- Maintain organized records for client contracts, permits, compliance documentation.
- Responsible for accounts payable/receivable; payroll processing; ensure timely payments and collections
- Assist with HR-related functions, including onboarding new employees and managing benefits paperwork
- Order office supplies, oversee the maintenance of office equipment (computers, printers, etc.).
- Handle customer concerns and inquiries with professionalism and promptness.
- Communicate effectively with clients about job status, timelines, and changes.
- Maintain job files, documentation, and project timelines.
- Track project progress and provide updates to clients and management.
- Ensure compliance with industry regulations and safety standards.
Qualifications:
- Proven experience as an office manager or in a similar administrative role, preferably within a construction or trades-related industry.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proficiency in MS Office Suite (Word, Excel, Outlook) and basic office equipment.
- Proficiency in Quickbooks or other accounting software
- Bilingual preferred to effectively communicate with our diverse client base and team members.
- Knowledge of roofing terminology and industry practices is preferred, but not required.
