Description
The receptionist at Summit Therapeutic Services serves as the welcome and support person for staff and visitors to the office for office and administrative tasks. They coordinate information, communication, activities and functions of the office via the reception desk. Operates PBX or multiline telephone system to answer incoming calls and directs callers to appropriate personnel. The receptionist supports the administrative/management staff with office related tasks and coordination of communication. Knowledge of computer systems, such as Microsoft Office is highly preferred.

Duty Statement: Key Responsibilities and Accountabilities:
1. Retrieves messages from voice mail and forwards to appropriate personnel.
2. Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
3. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
4. Answers questions about organization and provides callers with address, directions, and other information.
5. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
6. Monitors visitor access and issues passes when required.
7. Updates appointment calendars.
8. Receives, sorts, and routes mail, and maintains and routes publications.
9. Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
10. Takes payments for services and products.
11. Prepares travel vouchers.
12. Orders, receives, and maintains office supplies.
13. Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
14. Performs other clerical duties as needed, such as filing, photocopying, and collating.
Salary : $22 - $23
