Job Summary:
The Receptionist is required to provide an exceptional level of customer service and professionalism; representing Summitt Trucking and its subsidiaries as he/she greets and responds to customers, consumers and other stake holders. Must be able to prioritize multiple tasks in a timely and efficient manner. Must be able to work in a fast-paced environment always maintain professionalism. The receptionists will also help out in safety by overseeing compliance, reporting, and system maintenance in accordance with all FMCSA regulations. Lastly, receptionist will be responsible for Federal, State and local compliance programs.
Primary Responsibilities:
- Answer multi-line switchboard, directing callers to the appropriate departments for prompt service.
- Greets the public representing Summitt Trucking, LLC and Brokerage with an exceptional level of professionalism.
- Schedules appointments and may maintain the appointment calendar for the President.
- Sorts and distributes daily incoming mail and prepares outgoing mail for pickup.
- Sorts through BOL’s (bill of ladings)
- Recordkeeping and other administrative / clerical functions assigned as needed.
- Maintain distribution and contact lists
- Acts with integrity and maintains the ability to maintain confidentiality
- Special projects are assigned on an as-needed basis
- May be required to assist in compilation of information for special reports, responses to regulatory compliance officers, audits and other inquiries.
- Administer and manage the DOT Drug, and Alcohol Program. Including the FMCSA Drug clearinghouse inquiries – DER (Designated Employer Representative)
- Responsible for FMCSA Part 391 DQ Files for drivers
- Assist with building new/rehire drivers in TMW
- Responsible for maintaining the integrity and confidentiality of department records
- Provide administrative level support to the Director of Safety and HR for all Safety matters relevant to Summitt Trucking, LLC
- Audit interior and exterior vehicle cameras
Qualifications:
- Two years’ experience working in an office
- Ability to prioritize multiple tasks in a timely and effective manner.
- Professional communication skills
- Proficient in Microsoft Office with emphasis on Outlook, Word and Excel.
- Experience working in the transportation industry is a plus.
- Other duties / functions may be assigned based on the needs of the business with or without advance notice.
- Confidentiality a MUST
Working Conditions:
- Ability to remain in a stationary position for extended periods of time
- Ability to move about inside office to access files cabinets and office machinery
- Good eye/hand coordination
- Ability to use upper extremities for keystrokes and phone use for extended periods of time
- Ability to communicate effectively using an office phone
- Able to lift 20 pounds multiple times daily
- Ability to meet overtime requirements during peak periods with or without advance notice
- Ability to meet internal and external training requirements as needed
- Ability to read, analyze and understand reports
- Ability to travel to other job and training sites
- Ability to view a computer monitor for extended periods of time
- Ability to type 30 wpm
- Moderate to high level of noise
- Ability to handle high stress situations
Job Type: Full-time
Pay: $17.00 - $18.00 per hour
Expected hours: 40 per week
