Your Mission : The Event Coordinator will plan and execute an annual events strategy to support Sun Health's mission to champion superior health and wellbeing through philanthropy, inspired living, and wellness programs. Events may include (attendance) : Dinner Fundraiser (200), Top Golf friendraiser (200), three signature community education events (150 each), and several lecture series offered for in-person, hybrid, and virtual attendance (10 - 85). In addition, the organization is planning a fall conference which will require participation from this position.

Key Responsibilities :
Collaborate with internal team members, including the Sun Health communities, foundation, marketing, and wellness teams to create an annual events plan to drive philanthropic support, increase brand awareness, inspire participation and engagement, and offer educational opportunities to support a healthier community.Coordinate all phases of special events including planning, consulting, scheduling, budgeting, oversight, and post-event reporting as required.Develop event planning timelines for each event to facilitate event execution, track progress and promote team communication.Research potential space and facilities required and perform site evaluations. Support financial objectives by managing event budgets and vendor contract negotiations for products and services. Book event space, arrange food and beverage, order all supplies and decorations, and coordinate audiovisual needs.Identify and secure guest speakers and entertainment, coordinate necessary rehearsals, and respond to speakers' / entertainers' needs leading up to event.Strategize with colleagues at the foundation and marketing team to develop an event promotion plan to attract the target audience for each event. Work with marketing team to create and distribute invitations and other promotional materials. Organize registration and attendee check-in processes. Manage event reminders and post-event follow-up as needed.Schedule and lead all event planning meetings with team members and vendors.Collaborate with leaders across the organization to collect information and maintain an organization-wide events calendar.Work with Vice President of Marketing and Communications to ensure collaboration and communication with Events Task Force and Outreach Committee meetings.Work with foundation team to develop partnership proposals and to ensure fulfillment of sponsorship entitlements at all events, including in signage and in talking points.Work with volunteer coordinator to attract, organize, and retain community-wide volunteer committees to assist with planning and running special events. Provide day-of event support and volunteer oversight as needed.Work with marketing team to secure event-day photography and / or video as appropriate and indicated, and follow-up use.Prepare and maintain reports and required documentation and records for all designated events.Work closely with Vice President of Marketing and Communications to expand Sun Health's Speakers' Bureau which includes physicians, financial experts, registered dieticians, researchers, and more.Your Qualifications :
Bachelor's degree in marketing, public relations, communications, related field or three years of experience in a similar position.A minimum of 4 years' experience in coordinating, developing, and implementing special events; experience with nonprofit events is preferred.Additional related education and / or experience preferred.Current or ability to obtain a Level 1 Fingerprint Clearance Card is required.Ability to travel in own vehicle, current Driver's license and auto insurance is required.Team Member Benefits :
