What are the responsibilities and job description for the Mountain Operations Admin Assistant position at Sun Valley Company?
The Mountain Operations Admin Assistant will support all mountain-related departments and managers. This position is vital to the efficiency and productivity of the Sun Valley Mountain Operations Department. The Mountain Operations Admin Assistant will prepare and manage payroll, be a liaison with other departments and generate reports for managers and employees. This position reports to the Director of Mountain Operations.
Duties & Responsibilities :
- Supports and helps administration of all mountain-related departments and managers
- Prepares and manages employee payroll through Kronos
- May be asked to represent the Mountain Operations Department by attending meetings and working on committees within the broader company
- Be a liaison and representative between the mountain and other company departments such as catering, ski school, lodging, recreation, food & beverage, etc
- Generate reports and meeting notes for department managers and employees
- Gain the knowledge and training to be the subject matter expert for various platforms and apps (Coupa, UKG, Kronos, and more) to support mountain-based departments
- Compile, copy, and manage records and be able to produce reports, data, or files from these records
- Assists in managing contracts for vendors and partners, keeps them up to date, and renews them as needed. Helps write, review and gain approval for new contracts
- Works with local agencies and partners - building departments, Forest Service, communication site technicians, and other outside groups while maintaining the best interest of Sun Valley and Mountain Operations
- Oversee purchase orders for merchandise or services, prepare, issue, and send out receipts, bills, purchase orders, invoices, and statements using Coupa, and purchase supplies for mountain offices and departments
- Manages Mountain Operations bulletin board with pertinent information for employees
- Maintains office equipment in working condition, calls in service when necessary
- Responds to mountain-related email inquiries and comments
- May be called on to operate company vehicles to transport equipment, supplies, or personnel to and from the mountain as needed. This includes running errands, completing assigned tasks, and ensuring the safe and timely delivery of items or passengers while adhering to company policies and traffic regulations
