POSITION PURPOSE
The Safety Administrative Assistant performs all basic office and administrative tasks in order to support the efficient running of the Safety Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Employee shall perform all duties and responsibilities with Sunland's Core Values at the forefront.
- Must be an advocate of safety and follow safety policies and procedures.
- Act as liaison between own department/supervisor, other departments, external contacts, clients, etc. Such liaison may be required to arrange meetings, clarify and resolve problems, coordinate work and maintain relations.
- Assist with processing of documents, forms, mailings and materials.
- Create and maintain environmental/safety records via spreadsheets.
- Record minutes at staff meetings and Department-wide safety meetings; retain all documentation and notes.
- Maintain confidentiality related to environmental and safety and security issues.
- Maintain material safety data sheets (MSDS/SDS) database and update MSDS/SDS books for all Divisions as necessary.
- Collect, maintain and administer contractor safety performance and qualification records as assigned.
- Responsible for worker's compensation filings, processing and medical status updates.
- Assist safety program by tracking training hours and lost-time accidents
- Prepare reports, spreadsheets and other documents as required.
- Maintain files and records for the Department.
- Answer telephone calls, take messages, respond to questions and direct callers appropriately.
- May perform basic administrative and clerical functions, which could include filing, copying, binding reports, etc.
- May provide mail service for Department.
- Run miscellaneous errands, pick-up/deliveries per supervisor's request.

SAFETY
- This position is considered a safety-sensitive position and is subject to the company's drug and alcohol policy, as well as all OHSA regulations.
- All employees must wear the appropriate personal protective equipment (PPE).
- Serves as a safety ambassador by complying with federal, state and local laws, as well as Company safety policy, enforces safe work practices, and proactively identifies and remedies worksite hazards.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
- This position operates in a professional office environment that routinely uses standard office equipment requiring the ability to communicate in person and over the telephone with other employees, the ability to interpret printed materials and a computer screen, the stamina to maintain attention to detail despite interruptions, the ability to lift and carry supplies and files weighing up to 10 pounds and to move about the inside of the office to access supplies, office machinery, etc.
- May be required to work on a project site and if so, would be exposed to all weather, including extreme hot and cold temperatures.
- Employee might be exposed to various chemicals, vapors, pollutants, virus or other air-borne pathogens, gases, uneven surfaces, loud noises, moving vehicles or machines and dust/debris.
POSITION TYPE/EXPECTED HOURS OF WORK
- This is a full time position. Occasional overtime may be required as job duties demand.
TRAVEL
- No travel required.
MINIMUM QUALIFICATIONS
Education and Work Experience
- High School Diploma or GED or sufficient experience required.
- Previous industry related experience is preferred.
- Strong computer, written and verbal skills required.
- Strong attention to detail required.
- Excellent interpersonal skills.
- Must be fluent in English, i.e., must be able to speak, read and write English.
- Bilingual: Spanish Fluency preferred, ability to speak, read and write Spanish is a plus.
Certifications, Licenses, and Registrations
- Passing a pre-employment drug and alcohol screening and background check is required.
