Job Summary:
Responsible for reviewing, researching, reconciling, and accurately accounting clerical functions related to accounts payable, grower accounting and other accounting department needs. Responsible for handling a variety of administrative support as receptionist which includes answering phone, receiving visitors, sorting, and distributing mail and deliveries while ensuring a professional and welcoming environment.
Essential Job Functions:
· Responsible to open and close front office to ensure access is available from 8 am to 5 pm.
· Answers, screens, and forwards calls on multi-line phone system including taking messages and transferring calls.
· Responsible for greeting and determining the nature and purpose of the visit to direct or escort individual to specific destination.
· Responsible for ensuring clients, visitors, guests, employees, job applicants who enter facility sign the Visitor Log, review, and sign acknowledgment of GMPs (Good Manufacturing Practices) and issue any visitor PPE (Personal Protective Equipment) if applicable.
· Receives incoming mail, documents, packages, messages, courier deliveries, and any other incoming items and distributes to appropriate department or person.
· Responsible for ensuring that office supplies are stocked and maintained by ordering supplies.
· Required to confidentially handle sensitive information.
· Responsible for the housekeeping of the front office.
· Responsible for verifying, classifying, data entry into computer system for payable processing and additional accounting data collection.
· Reconciles the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.
· Responsible for addressing, investigating, and responding to reconciling discrepancies and vendor inquiries if any, by reconciling vendor accounts and vendor statements.
· Responsible to reconcile processed work by verifying entries and comparing system reports to balance.
· Responsible for verifying and tracking that outstanding credits are received.
· Responsible for maintaining accounting ledgers by verifying and posting account transactions.
· Responsible for Maintaining historical records, records for third party and filing of documents.
· Complies with all company policies and procedures.
Other Job Functions:
· Provides miscellaneous clerical functions to the staff as requested.
· Assist in updating financial records.
· Assist with creating Bill of Lading for shipments being sent out of the facility.
· Assists in grower accounting data entry, financial information, and other data entry as needed.
· Provides vendor history reports as requested.
· Coordinate and order meals for onsite meetings.
· Other Job tasks as assigned.
Skills, Knowledge, & Abilities:
· Knowledge of general accounting standards, policies, and procedures; W9, sales tax, etc.
· Ability to perform mathematical calculations with skill and accuracy.
· Knowledge of ledger reconciliation procedures.
· Knowledge of computers, Microsoft Office Suite, and spreadsheets software applications.
· Ability to read, analyze and interpret financial reports.
· Ability to be organized and pay attention to detail.
· Ability to multi-task.
· Ability to communicate verbally and in writing.
· Ability to work well with a wide range of personalities.
· Ability to speak Spanish; not required but beneficial.
Physical Activity Requirement:
· Ability to continuously walk up and down stairs to offices.
· Ability to occasionally walk around the office to access file cabinets, office machinery, etc.
· Ability to continuously sit for prolonged periods of time.
· Ability to continuously use arms, hands, wrists, and fingers to operate standard office equipment.
· Ability to communicate verbally, hear and see.
· Ability to occasionally lift, push, and pull up to 35 pounds.
Working Environment Conditions:
Required to work indoors in an office environment in environmentally controlled conditions.
