Patient Registration Specialist:
The Patient Registration Specialist is responsible for managing patient registration, financial screening, and program eligibility review to ensure accurate application of payer sources and seamless clinic operations. This role combines patient-facing interactions with administrative duties to support clinic flow and patient access to care. The specialist collaborates with medical and dental clinical teams, community resources, and funding agencies to enhance patient health outcomes and financial compliance.
Position Summary:
With a Quality, Customer First, and Compassionate approach, The Patient Registration Specialist will:
Financial Screening and Eligibility:
- Conduct patient interviews to determine eligibility for financial programs, including Medicaid, Medicare, and other payer sources.
- Process new patient enrollments and re-evaluate existing patients for updated eligibility status.
- Verify and document patient financial information, including income and address verification.
- Submit Medicaid applications within required timeframes.
- Maintain logs and follow up on pending Medicaid cases, approvals, and denials.
- Counsel patients on financial assistance programs, eligibility criteria, and associated services.
- Offer voter registration assistance when applicable.
Patient Registration/Check-in and Data Management:
- Greet and register patients, collect, or verify basic and billing information, and create or update patient records in the electronic health system (EHR).
- Collect co-pays, reconcile daily cash reports, and counsel patients on account balances.
- Distribute and review required registration and consent forms with patients, ensuring compliance with clinic policies.
- Electronically scan and organize documentation into patient records.
Clinic Operations and Customer Service:
- Provide excellent customer service while maintaining patient confidentiality and privacy per HIPAA standards.
- Support clinic flow by assisting walk-in patients, coordinating patient flow with enrollment processes, and managing scheduling needs.
- Conduct reminder calls for scheduled appointments and monitor patient wait times.
- Participate in pre-visit planning with care teams, ensuring appointment schedules are prepared and instructions are documented.
- Effectively address patient needs or concerns as part of quality assurance efforts.
Collaboration and Compliance:
- Work in collaboration with clinical staff, providers, and community resources in a team-based care model.
- Ensure compliance with state, city, county, and federal funding regulations.
- Stay informed about clinic programs and services, explaining these to patients as needed.
- Participate in initiatives to improve patient care access and clinic performance.
Other Duties:
- Assist in maintaining the clinic’s operational flow.
- Perform additional tasks as assigned to meet patient and organizational needs
Minimum Qualifications:
- High School Diploma/ GED
- 1-3 years of relevant on the job experience.
- A minimum of 1 year experience in third party billing, state funded programs, payer source, and billing procedures is preferred.
- 2 years of clerical experience and / or training ideally.
- Bilingual proficiency in English and Spanish is preferred.
