Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support our team in various administrative tasks. The ideal candidate will possess strong communication skills and be proficient in managing office operations, ensuring a smooth workflow. This role is essential for maintaining effective communication within the office and providing excellent customer service to our clients.
Responsibilities
- Work under the direction of and cooperation with the Executive Director and the Board of Directors
- To organize a pleasant welcoming and safe environment for children an staff
- To be able to carry a child in an emergency situation
- To be able to perform CPR/First Aid on a child
- May require prolonged sitting and working at a computer for up to eight hours
- Review intake information forms for the admission of children to the center. Update all intake information in the computer system (Procare). Bring important information to the attention of the Executive Director and staff so that they provide the best possible program for each child
- Collect fees, record payments, and write receipts for payments as needed
- Maintain and accurate database of each child’s hours of attendance, applicable rate, and other pertinent information in the computer system (Procare)
- Assist in maintaining organized files of office records on children and staff
- Monitor reception area and answer phone during scheduled hours
- Responsible for the CACFP participation which includes: retaining all food receipts, documenting kitchen staff hours worked each pay period, record all food related business and file the monthly Food Claim in order to be reimbursed by the CACFP
- Responsible for providing staff with all child related paperwork, food count sheets, schedules, menus, ins and outs, cleaning schedules and all other necessary paperwork
- Maintain confidentiality
- Portray a positive image of Sunshine Learning Center when representing the center both on and off the clock
- Ensure all center’s policies and procedures are followed
- Assist in planning, organizing, and administering a childcare program to meet the physical, emotional, intellectual, and social needs of the children and assume their care and protection
- Follow the working schedule as established for the Center Administrative Assistant position
- Obtain and input all students contracts every Wednesday by end of day
- Attend all staff meetings, assist in preparing the agenda for all staff meetings
- Perform other duties as assigned
- Greet visitors and offer hospitality, supervise center traffic
- Answer phones, route calls, and take effective messages
- Create the monthly newsletter, maintain our front office employee board, all postings for illnesses, DHS updates, center updates and other flyers as well on the centers front bulletin board
- Keep a neat and tidy area at reception for a professional presentation for families and visitors
Job Type: Temporary
Pay: $10.00 - $10.25 per hour
Expected hours: 30 per week
