Required Qualifications:

· Bachelor's degree is required.

· A minimum of three (3) years’ experience in collegiate athletics management and intramurals or established proficiency in these areas.

· A minimum of three (3) years’ experience in NJCAA regulations and NJCAA eligibility procedures.

Preferred Qualifications:

Master's or terminal degree is preferred.

Skills and Abilities:

· Strong supervisory skills.

· Ability to communicate effectively with a wide range of stakeholders (including prospective students, students, student-athletes, staff, faculty, community members, parents/guardians, and NJCAA administrators).

· Ability to inspire achievement, integrity and leadership among students, student-athletes, and fieldhouse staff.

· Proficiency in the various software packages including Windows, Microsoft Office Suite, Jenzabar, Internet, and e-mail.

Duties and Responsibilities:

Division Responsibilities

· Shall attend appropriate meetings, including those within the Student Development Division, Faculty Council, and others as assigned.

· Shall communicate and report to the VP and college leadership about intercollegiate athletics, intramurals, recreation, and all other Fieldhouse activities.

· Shall coordinate appropriate publicity of all athletic and fieldhouse events with coaches and College Office of Communications.

Intercollegiate Athletics

· Coordinate the intercollegiate athletics program including contracts (team and officials), schedules, travel arrangements, and home game arrangements.

· Monitor and guide all coaches regarding practice, competition, monitoring student-athletes' Academic responsibilities, and personal conduct.

· Coordinate staff coverage at home games to assure availability of facilities and appropriate conduct of competition. May also attend away games as needed.

· Shall recommend individuals to serve as coaches to the VP of Academic and Student Affairs.

· Submit written evaluations of all coaches to the Office of Human Resources by appropriate deadlines.

· Support coaches in recruitment of student-athletes and monitoring their academic progress.

· Determine that all student-athletes meet the minimum scholastic eligibility requirements as set forth by the NJCAA, Region XV, and any other league requiring such information.

· Review student-athletes’ eligibility with the VP of Academic and Student Affairs and submit the eligibility rosters to the NJCAA office according to guidelines.

· Follow all guidelines and submit required reports put forth by the Title IX regulations.

· Ensure all student-athletes have the required physicals completed and on file prior to the start of participation.

· Ensure appropriate recognition of student-athletes including Athletic Awards Event(s), college sponsored awards, and submitting of appropriate information to the NJCAA, Region XV, and any other league requiring such information.

· May play a part in developing the annual Faculty Student Association budget for the intercollegiate athletics program as assigned by the President.

· Maintain budget records for each sport.

· Attend all conference, regional, state and local athletic directors' meetings as approved by the VP of Academic and Student Affairs.

Intramural and Free Recreation

· Coordinate schedules for intramural and other activities and ensure no conflicts with intercollegiate athletics or other official functions in the Fieldhouse or on the athletic fields. Intramurals will be in collaboration with Student Activities.

· Organize schedule for "Open Rec" use of facilities (weight room, nautilus, and open courts) to maximum extent although giving priority to scheduled classes, scheduled events, intercollegiate practices and competitions, and intramural programs.

Paul Gerry Fieldhouse

· Oversee requests to use the athletic facilities or Fieldhouse, in collaboration with Chief of Staff.

· Prepare the annual College budget for the Fieldhouse.

· Oversee the operation of concessions for events held in the Fieldhouse.

· Supervise the scheduling of all intercollegiate activities in the Fieldhouse and/or outdoor athletic fields and settle conflicting requests in a positive manner.

· Coordinate the set-up and breakdown of scheduled classes, intercollegiate competitions, intramural programs, ‘Open Rec’, graduation ceremonies, and additional events/rentals. For graduation and other large events/rentals, communicate and coordinate with the Building and Grounds department.

Working Conditions and Physical Requirements:

· Work in an office environment within the athletic department, with frequent visits to sports facilities, including fields, courts, gyms, and other athletic venues. The role may involve attending events such as games, practices, and meetings with coaches, staff, and stakeholders.

· Work a standard workweek of 35 hours, but must be flexible to accommodate evening and weekend events, games, and practices. Additional hours may be required during peak sports seasons or for special events, for which flex or comp time can be requested.

· May require occasional travel to away games, conferences, and professional development events.

· Occasional physical activity associated with overseeing events, including walking between venues, standing for extended periods, and attending outdoor or indoor sporting events in various weather conditions.

· The role involves significant interaction with coaches, student-athletes, staff, administrators, alumni, and external organizations. Strong communication and interpersonal skills are essential.

· The position can be high-pressure, particularly during the sports season, with responsibility for meeting deadlines, managing a diverse range of tasks, and resolving issues quickly and effectively.

· Follow all safety protocols associated with the facilities, equipment, and events. This includes ensuring the safety of student-athletes and staff in all athletic activities.

Supervisory Responsibilities:

Supervise all fieldhouse staff and Work Study students.
