Office Administrator

Superior Fence & Rail is an industry leader in Central Iowa seeking an experienced full time Office Administrator/Manager. We partner with a national home improvement chain, multiple home builders and general contractors for fence installation requirements.

Learn and adopt Superior Fence & Rail’s structured processes and complete required training. Energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. Typical work week is Monday through Friday 8:00am - 5:00pm.

Responsibilities:

  • Develop expertise in product knowledge, technical knowledge, industry and process knowledge
  • Develop organizational procedures and systems for office personnel, including filing, billing, accounts payable, payroll and scheduling
  • Receive inbound calls/make outbound calls to set appointments with prospective clients
  • Assist General Manager and other personnel as needed
  • Provide support to customers and handle all inquiries that come in via email or phone
  • Perform data entry as needed
  • Process all new sales contracts
  • Use industry specific software to produce materials list
  • Enter estimates and sales orders in QuickBooks
  • Contact customers to schedule appointments for fence installations
  • Track the status of open installation jobs
  • Prepare and file permits with various municipalities
  • Prepare, file, and follow-up on all needed HOA’s
  • Assist in the onboarding process for new hires; including collecting all required documents
  • Submit utility locales via internet website
  • Complete Accounts Receivable and payment processing
  • Interacts with clients and co-workers in a pleasant and professional manner.
  • Perform other duties as assigned.

Skills and Experience

Experience and Education:

  • Must have 3 years or more of proven office management, administrative or assistant experience
  • Experienced in working in a fast-paced environment
  • Ability to multitask efficiently
  • Highly skilled in verbal and written communications
  • Prior office software experience (Microsoft Office or Google’s G Suite)
  • High level of experience with computer operations and appropriate software
  • Highly detail oriented with organizational skills
  • Ability to work independently with little or no supervision
  • Ability to treat others with respect and gain trust and respect from subordinates, supervisors, and customers
  • Exceedingly positive in his/her work attitude

Pay: $16.00 - $22.00 per hour
