Job Title: Payroll and HR Operations Coordinator

Location: District Office
Department: Human Resources
Reports To: Director of Human Resources
FLSA Status: Act 93, 12-months

Job Description:
We are seeking a highly organized and detail-oriented HR and Payroll Coordinator to join our team. This position is responsible for assisting with the payroll processing and providing overall support to the HR department. The ideal candidate will have experience in payroll processing, human resources functions, and a commitment to accuracy and compliance.

Key Responsibilities:

Payroll Processing:

  • Enter new hires into the Financial and HR Information System, and Absence Management System.
  • Track and manage absence data, including rollover and importing to the Financial and HR Information System.
  • Oversee time and attendance data in Time Clock Plus and ensure accurate transfer into the payroll system.
  • Act as the liaison for Time Clock Plus.
  • Assist with new hire onboarding, including calculating gross pay, overtime, and other compensation components.
  • Assist with employee terminations, including final paycheck calculations.
  • Provide coverage for the Payroll Coordinator in their absence.

HR Administration:

  • Maintain accurate employee personnel files and records, ensuring compliance with district policies.
  • Manage job boards such as Frontline Hiring and Recruiting, PA Educator, PA Reap, and PDE.
  • Create and distribute recruitment flyers and post on various social media platforms to attract candidates.
  • Assist with recruitment strategies, including attending job fairs and following up with candidates.
  • Monitor and manage the new hire onboarding process, including completing paperwork and coordinating benefits enrollment.
  • Conduct or assist with new hire orientation sessions.
  • Serve as the liaison for AESOP.
  • Respond to employee inquiries regarding company policies, benefits, and leave policies.
  • Assist with employee terminations and conduct exit interviews when necessary.
  • Provide clerical support to the HR department, including filing, scanning, and organizing documentation.
  • Assist with payroll-related tasks such as answering employee questions, resolving processing errors, and distributing paychecks.
  • Help organize and execute special events, such as benefits enrollment, employee recognition events, staff picnics, and retirement celebrations.
  • Provide administrative support to the Director of Human Resources.

Qualifications:

  • Education: Associate degree in Human Resources, Business Administration, or related field, or equivalent experience. Bachelor’s degree preferred.
  • Experience: At least 3 years of progressive experience in HR and payroll administration, preferably within a public school district or similar educational setting.

Knowledge:

  • Strong understanding of payroll regulations, tax laws, and benefits administration.
  • Solid knowledge of federal, state, and local employment laws and regulations.
  • Proficient in HRIS (Human Resources Information Systems) and payroll software.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, etc.) and social media platforms for recruitment purposes.

Skills:

  • Excellent attention to detail and accuracy in payroll processing and record-keeping.
  • Strong organizational, time management, and problem-solving skills.
  • Ability to work independently with minimal supervision and as part of a team.
  • Excellent written and verbal communication skills to effectively interact with employees and external vendors.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Job Type: Full-time

Pay: From $60,000.00 per year
