GreenSpark is seeking a Commercial Operations Administrator to join the Commercial Operations division, which executes EPC contracts for large-scale solar installations. This role will ensure smooth day-to-day operations of the division by handling various administrative tasks, managing departmental requests, and providing support to sub-departments such as Project Management, Site Superintendents, Design, and the Electrical Self Performance team. The ideal candidate is a proactive, organized, and detail-oriented individual who thrives in a fast-paced environment and excels at managing diverse tasks to maintain an efficient workflow.
Essential Job Functions & Key Responsibilities:
General Administrative Support:
Act as a central point for triaging departmental requests and inquiries.
Provide administrative support to Project Managers and Department Managers, while also assisting other team members with manager approval.. Assistance without Manager approval may be extended to Engineers, Superintendents and Self Performance Foreman based on workload and workflow.
Document Management:
Assist with the compilation and submission of permit applications, including printing and organizing documents.
Prepare, print, and distribute engineering drawings and other technical documents as needed.
Manage and coordinate outgoing and incoming mail and deliveries.
Contract and Compliance Assistance:
Track subcontractor insurance renewals and ensure compliance documentation is current.
Assist in managing pay applications and related documentation for ongoing projects.
Operational Support:
Coordinate meetings, manage calendars, and arrange travel for team members.
Organize department records and support project-related documentation.
Assist in tracking project progress and maintaining logs, while providing data entry, analysis, compilation, and processing support for department employees.
Workflow
Help design, and administer a Procore request/ticket system for departmental support requests.
Provide continuous improvement on the request / tickets system to make sure it evolves with the departmental needs and workflows
Other Duties:
Provide general office support, including maintaining office supplies and equipment for the division.
Support ad hoc requests to ensure the smooth operations.
Education & Qualifications:
High school diploma or equivalent (Associate's degree or higher preferred).
Proven experience in an administrative role, preferably in a construction
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Suite (gmail, calendar, drive), Adobe Acrobat and office equipment.
Training or experience with Procore is preferred.
Familiarity with document management and filing systems.
Attention to detail and ability to manage multiple priorities.

Annual salary range of $60,000 - $75,000
